Description

We are seeking a professional, detail-oriented Administrative Assistant to support the daily operations of our office. This individual will be the first point of contact for guests and callers and will play a key role in maintaining a welcoming and efficient office environment. The ideal candidate is organized, proactive, and capable of handling a variety of administrative and support tasks with professionalism and discretion.


Principal Duties and Responsibilities:

  • Answer all incoming telephone calls and transfer them to the appropriate individuals.
  • Greet and welcome all guests in a professional and courteous manner.
  • Book, set up, and break down conference rooms as needed.
  • Assist with light event planning, including ordering food for meetings and supporting firm event coordination.
  • Respond to daily emails and manage building maintenance and repair requests.
  • Retrieve office mail from the building mailroom, scan and distribute it to the appropriate recipients, and prepare outgoing mail for end-of-day processing.
  • Log and distribute incoming packages and faxes.
  • Maintain office cleanliness, including stocking the kitchen and conference rooms, and tidying the lobby area.
  • Perform data entry and maintain several internal spreadsheets.
  • Provide administrative support to management, including assisting the Firm Administrator with tasks related to Human Resources (onboarding, open enrollment coordination, and benefit billing reconciliation) and Marketing (website and social media updates, ranking submissions, and seasonal outreach such as the king cake list).

Qualifications:

  • Previous office experience preferred.
  • BS/BA from an accredited college or university preferred.
  • Excellent oral and written communication skills in English.
  • High proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and Adobe.
  • Ability to work independently and collaboratively.
  • Strong sense of integrity and ability to maintain confidentiality.
  • Excellent interpersonal skills and comfort interacting with employees at all levels.
  • Strong attention to detail and follow-through.
  • Exceptional organizational skills and ability to manage multiple priorities under tight deadlines.
  • Proven ability to plan and execute projects while managing daily responsibilities.

Schedule:

  • Monday - Friday, 8:30 a.m. - 5:30 p.m.; 1-hour lunch to be taken between 12:00 p.m. and 2:00 p.m.
  • Occasional overtime

Physical Requirements:

  • Must be able to remain in a stationary position for extended periods of time while operating a computer.
  • Must be able to have repetitive wrist/hand/finger movement to work on a computer or other related office equipment.
  • Must be able to move around the office to access files, packages, office machinery, etc.
  • Occasionally must be able to move files or equipment weighing 10-15 pounds.
