Frost Brown Todd LLP, a national law firm with 1000+ legal and business professionals in eighteen offices, is currently searching for a full-time Legal Support Assistant to join our Newport Beach office located in Fashion Island. The Legal Support Assistant will handle both office assistant/receptionist responsibilities as well as legal support assistant responsibilities, working directly with attorneys and legal practice assistants to gain hands-on, practical legal support experience. This is an excellent opportunity for an entry-level candidate.
Key Responsibilities:
- Answer and route all incoming calls to the appropriate FBT personnel.
- Meet and greet clients, vendors and other FBT personnel in a courteous and professional manner. Ensure proper clearance and routing of respective parties in accordance with firm policies. Contact attorney and/or assistant accordingly and direct guest/clients to conference rooms.
- Maintain cleanliness of conference rooms, reception desk and surrounding areas. Provide beverage services to clients and/or conference center.
- Maintain conference center schedule using PC based software. Work with and communicate to attorneys and business professionals all accommodations for conferences, events and receptions.
- Record and maintain all parking validations distributed to clients and visitors, including monthly reconciliation of charges.
- Place food orders, coordinate payment and set-up lunches for conference center.
- Track office/kitchen supplies and validate when deliveries are completed.
- Learn firm systems such as Aderant Time, ChromeRiver, NetDocuments, and inTapp by regularly attending IT training programs.
- Learn how to enter and review time entries in Aderant.
- Learn how to process and review expense reimbursements and check requests using ChromeRiver.
- Learn how to utilize programs such as Word, Excel, PowerPoint and Nuance to create and edit materials.
- Learn how to use Rendezvous and Outlook calendaring to coordinate and arrange meetings and conference calls, including booking conference rooms, arranging catering and/or technology needs and sending calendar invites.
- Learn how to draft and type correspondence, memoranda and other documents, and how to navigate and search NetDocuments to find previously created templates.
- Learn how to use office equipment to perform general office duties such as scanning, copying, collating and assembling documents.
- Provide a high level of customer service to internal and external clients.
- Demonstrate effective teamwork and provide overflow assistance to legal practice assistants as needed/requested.
- Assist with special projects as requested.
Job Requirements:
- Bachelor’s degree in any field or an associate degree with a major in paralegal studies.
- Possess interpersonal skills necessary in order to communicate in person, by email and telephone and follow instructions effectively from a diverse group of attorneys, managers and business professionals.
- Excellent grammar, spelling, research, and writing skills.
- Ability to work independently, self-starter and demonstrate initiative.
- Ability to work collaboratively and cooperatively with others in a team-oriented environment.
- Ability to shift attention from one area of work to another quickly and effectively.
- Intermediate knowledge of Microsoft Office, including Outlook, Word, Excel, and PowerPoint.
- Ability to quickly become proficient in the firm’s computer applications and the use of office equipment.

The pay range for this role accounts for the wide range of factors considered in making compensation decisions including but not limited to skill sets; experience and training; licensure and certifications; and other business and organizational needs. For applicants physically based in California, a reasonable estimate of the current range is $24.50 - $27.00 hourly. Actual pay will be determined based on skills, relevant experience and other-job related factors, consistent with applicable employment laws.
