The Office Assistant plays a vital role in supporting the administrative functions of the organization. This position requires a highly organized and detail-oriented professional capable of managing a variety of clerical and operational tasks. The successful candidate will report directly to members of the executive leadership team and must demonstrate discretion, professionalism, and a proactive approach to problem-solving. This is a hybrid role; 3 days per week in office, located in our Herdon, Virginia Office.
Essential Functions:
- Manage incoming and outgoing correspondence, including mail, email, and deliveries
- Maintain and organize both physical and electronic filing systems
- Coordinate scheduling and logistics for meetings, appointments, and conference calls
- Draft, edit, and format documents, reports, and presentations with precision
- Monitor inventory and order office supplies and equipment as needed
- Assist with basic financial tasks such as invoice processing and expense tracking
- Operate standard office equipment (e.g., printers, copiers)
- Provide administrative support to executive team members and other departments as assigned
- Handle sensitive information with confidentiality and integrity
Qualifications:
- High school diploma or equivalent required; associate degree or higher preferred
- Minimum of 1–2 years of experience in an administrative or clerical role
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Exceptional written and verbal communication skills
- Strong organizational and time management capabilities
- High level of accuracy and attention to detail
- Ability to work independently and collaboratively in a team-oriented environment
- Prior experience supporting executive-level staff is highly desirable
