POSITION SUMMARY: 

The Human Resources Coordinator is an entry-level position designed to build foundational HR experience while providing exceptional service to the organization. The Human Resources Coordinator is responsible for a variety of Human Resources administrative tasks and supports the HR team as well as providing administrative support to the broader organization as needed. Responsibilities include organization, coordination, and assistance with all Human Resources Department projects and HR processes. Working under the guidance of the Human Resources Team and/or Payroll members, the Human Resources Coordinator will be responsible for data entry and HRIS system integrity and new hire onboarding. Additionally, the HR Coordinator will work to support the new hire recruitment processes and liaise with the other departments, especially Quality and Payroll, for cross-departmental tasks. 


This role is a 6-month temporary, full-time position. The HR Coordinator will be expected to be on-site full-time.

 

DUTIES AND RESPONSIBILITIES: 

 

Human Resources Responsibilities:  

 

  • Employee Lifecycle Support
    • Assists in the hiring process, including recruitment projects as assigned, interview schedule coordination, background verifications, tracking new candidates flow and other assigned responsibilities to ensure a smooth recruiting process.
    • Coordinates the employee onboarding process to include all communications with candidates, internal teams, supervisors, and processes all new hire onboarding processes.
    • Supports recruiting processes with data and statistics for trends and patterns.
    • Assists with offboarding efforts including management of separation documentation and processes.

 

  • Employee Records and HR Systems
    • Maintains accurate employee files and updates HRIS with all relevant changes, including new hires, personal/job data changes and terminations.
    • Compiles, enters and manages people data and metrics in the organization’s human resources information system and/or other databases/spreadsheets with a particular focus on data integrity, working with the IT department as needed.
    • Ensures timely processing of all employee and contractor status changes, including notifications to relevant departments within the organization.
    • Assists in tracking compliance requirements (e.g., I-9 documentation, training completion).

 

  • Interdepartmental Initiative Support
    • Working with the Quality Department, responsible for cataloging and maintenance of all employee CVs and job descriptions, liaising with employees and leaders to ensure compliance with relevant SOPs.
  • Working with the Payroll Department, ensures that all relevant documentation for compensation, address, role or other changes impacting pay are properly documented, entered into relevant systems, and communicated to all relevant parties.
  • General HR Support
    • Manages HR communications channels, including shared mailboxes, ensuring appropriate triage and disposition of questions and issues.
    • Responds to verifications of employment and other external requests for employee information.
    • Performs HR-related administrative tasks as needed.
    • Support special projects as assigned by the HR team. 
    • Other duties as assigned.

JOB REQUIREMENTS / QUALIFICATIONS/EDUCATION: 

  • Minimum one year of administrative experience, with preference to experience working in a Human Resources role. 
  • Bachelor’s degree or equivalent experience required.

 

KNOWLEDGE, SKILLS, AND COMPETENCIES REQUIRED 

  • Excellent organizational skills and attention to detail.
  • Able to handle confidential information with discretion.
  • Excellent verbal and written communication skills.
  • Basic understanding of local, state, and federal employment laws.
  • Proficiency in Microsoft Office Suite with advanced Excel knowledge preferred.
  • Ability to manage multiple calendars in Outlook.
  • Strong interpersonal skills with ability to communicate effectively with individuals at all levels of the organization.
  • Desire to learn about HR and grow within the profession.

 

CONDITIONS OF EMPLOYMENT 

  • Verification of educational requirements, employment history, professional references, and certifications/training and U.S. work authorization.

 

WORKING CONDITIONS AND PHYSICAL EFFORT 

  • This role is on-site at the ProSciento facility in Chula Vista, CA.
