OBJECTIVE 

 
 

The Property Manager (PM) is a management position that oversees all aspects of building management, tenant relations, leasing, and marketing. The PM communicates with other department managers, vendors, and tenants to ensure Altair-managed properties, specifically the Bowie Apartments, are well maintained and that occupants are providing the service level defined in their Lease Agreement.  

 

 

RESPONSIBILITIES 

The essential functions of the job include but are not limited to the following: 

Staff Related Tasks 

  • Interface with tenants by phone call, email, or scheduled meetings across our commercial portfolio.
  • Walk each property at least weekly (with a Facilities Manager where possible), note any maintenance deficiencies and input tasks in Computerized Maintenance Management Software (CMMS).
  • Lease Compliance, including but not limited to annual certifications for qualifying tenants.
  • Hold weekly meetings with Leasing Agents, conduct one-on-one performance meetings with Leasing Agents monthly, and participate in monthly one-on-one performance meetings with Director of Property Management.
  • Verify projects and other contracted work (snow removal/Landscaping) are being completed per the contract. Higher level projects will need to be reviewed while accompanied by a Facilities Manager or the Director of Operations.
  • Ensure completion unit inspections within 30 days of move out.
  • Ensure units are prepared for scheduled move in day by conducting weekly walkthroughs of all units being turned, attending weekly unit prep meetings, creating punch lists, coordinate unit cleaning and carpet cleaning, and escalating concerns to facilities when needed
  • Create/Maintain current tenant files by ensuring all leasing documents are appropriately saved at Altair’s main office, site offices, and electronically.
  • Send notices to tenants i.e., Notice of Entry, Notices to Pay or Quit (as indicated on Lease Agreement), Violations, etc.
  • Complete filing paperwork for tenants when needed and attend eviction hearings.
  • Oversee and Assist leasing agent by calling leads and scheduling leasing tours as needed.
  • Assist Director of Property Management with additional tasks upon request. 

 

System Related Tasks 

  • Ensure PMs are adding leads into CMMS.
  • Add tasks in CMMS Software.
  • Run weekly Leasing Activity reports.
  • Run weekly vacancy reports to ensure occupancy goals are being met.
  • Run monthly delinquency reports and send statements to tenants. Make phone calls to discuss delinquency when following up on payments.
  • Approve invoices with appropriate work orders. If billing is inaccurate call vendor with instruction to revise and submit electronically to [email protected].
  • Clock in and out daily and add time off requests via Webclock.

Vendor Related Tasks 

  • Interface with outside contractors/service providers to ensure prompt performance of services when they are needed.  Provide work orders numbers and proper billing information in advance of any work being performed. 
  • Coordinate unit preps in accordance with future move in dates, and schedule vendors as needed. 

 Client & Tenant Related Tasks 

  • Participate Monthly Operating Reviews and client meetings as directed by DPM.
  • Take minutes in each Monthly Operating Review, send to Altair Staff for review, then send to client for final review and approval within 5 business days of the meeting.
  • Provide highest level of customer service and response to tenants & property owners.  
  • Perform other duties as required for the successful operation of the business. 

 

QUALIFICATIONS 

Education: Bachelor’s Degree          

Experience:   2 years in similar role.

  1. Real Estate License  

  1. PHFA certified

  1. Self-directed and motivated. 

  1. Customer-service oriented. 

  1. Ability to prioritize and execute tasks. 

  1. Driver’s license.  

  1. Demonstrate an ability to support and contribute to community team.  

  1. Demonstrate strong oral and written communication skills. 

  1. Operate telephone, personal computer/keyboard, Microsoft Office including Word and MS Outlook, Community Software. 

  1. Participate in training in order to comply with new or existing laws. 

  1. Neat, clean, professional at all times throughout the workday and/or whenever present at the     community. 

  1. Comply with expectations as demonstrated in the employee handbook. 

  1. Demonstrate ability to diffuse and respond to customer concerns to avoid escalation of the problem. 

 

 EQUIPMENT UTILIZED  

  1.       Personal computer 

  1.       Microsoft Office- Word, Excel, Outlook, Teams, etc. 

 

Salary starts at $55,000 per year. Relocation assistance to Erie PA is available.
