The Food and Beverage Administrative Assistant at Crystal Springs Resort plays a vital role in supporting both administrative operations and inventory management across departments. This position ensures accurate data entry, effective communication, proper filing systems, and efficient use of inventory and procurement software (Craftable). The ideal candidate is highly organized, detail-oriented, and comfortable working in a dynamic resort environment.


Key Responsibilities:

  • Process and manage overtime request sheets, ensuring proper approval and submission.
  • Assist with Heath maintenance tracking and employee scheduling input.
  • Perform Events Audit Sheet reconciliation, validating records for accuracy.
  • Conduct PO (Purchase Order) research and assist in fulfilling procurement processes.
  • Maintain filing systems for records, reports, and documentation—both physical and digital.
  • Manage the BEO binder and coordinate signage for resort events.
  • Provide payroll support, including verifying and compiling payroll-related data.
  • Support the onboarding process, including:
    • Coordinating hiring documentation
    • Setting up employees in ADP
    • Requesting employee numbers and issuing ID cards
  • File and maintain status change forms and compile weekly/bi-weekly reports.
  • Maintain resort menu documents and assist with organization of shared files on the G Drive.


Craftable System Management

  • Enter and maintain requisition sheets in the Craftable system.
  • Process and log banquet invoices and any invoices not captured via Receiving.
  • Conduct inventory data entry for various departments.
  • Update and maintain the Craftable database with new or modified inventory items.
  • Manage smallwares inventory, ensuring up-to-date records and supply levels.


Qualifications:

  • Prior experience in an administrative or inventory-related role (hospitality preferred)
  • Strong computer skills; proficiency in Microsoft Office
  • Experience with Craftable or similar inventory management systems a plus
  • Familiarity with ADP or other payroll/onboarding platforms is beneficial
  • Excellent organizational skills and attention to detail
  • Ability to multitask and work in a fast-paced, team-oriented environment
  • Strong written and verbal communication skills
