We are seeking an experienced Office Manager to provide ongoing daily support in our Plano, TX headquarters. This position will report to a member of the local People Team and interact daily with multiple levels of the organization and stakeholders. We are a rapidly growing digital services and professional services organization and the ability to move with urgency and taking a partnering approach are critical to success in this role.
Responsibilities:
- Office Management:
- Oversee all administrative duties to ensure the office runs smoothly.
- Manage office supplies inventory and place orders when necessary.
- Perform receptionist duties: greet visitors, answer and direct phone calls.
- Handle incoming and outgoing mail and deliveries.
- Develop and implement office policies and procedures.
- Schedule and manage local events, including meeting room reservations, setup, catering, and external venue arrangements.
- Identify opportunities for process improvements and implement new systems.
- Manage the office budget effectively.
- Coordinate with the IT department on all office equipment needs.
- Provide access to the secured facility for after-hours meetings and events as required.
- Offer additional administrative support as needed.
- Executive Administrative Support:
- Support executives with expense reports, document preparation and cleanup, and travel coordination.
- Assist with calendar management, scheduling meetings, and coordinating appointments.
- Facilitate communication between executives and other departments.
- Finance Support:
- Provide administrative assistance to the finance organization as needed.
- Help with basic finance-related tasks and documentation.
Experience & Requirements
- Ability to start with “How can I help”
- Bachelor's degree in business administration, communications, or a related field.
- 2-5 years of experience in an administrative, office management, or executive assistant role.
- Exceptional attention to detail.
- Strong organizational and time management skills with the ability to prioritize tasks.
- Self-starter with a driven attitude.
- Excellent communication and interpersonal skills.
- Strong problem-solving and analytical abilities.
- Proficient in Microsoft Office.
- Ability to be flexible with working hours to meet business needs, including supporting meetings and events outside standard hours.
This is not a remote role and individuals must be willing to work in the office daily.
