Summary
The Events Coordinator plays a pivotal role in supporting the business through management of events such as trade shows, speaking engagements, and customer hospitality activities. The ideal candidate has experience with corporate events, project management, and excels at cross-functional collaboration.
Responsibilities
- Event Execution & Coordination
- Manage end-to-end planning and logistics for tradeshows and events, including event registration, contract management, scheduling, coordination with vendors, and delivery of brand assets for display on the event’s websites and collateral.
- Develop and maintain project timelines, ensuring all tasks are completed on schedule and within budget.
- Maintain inventory of swag, booth supplies, demo products, and collateral.
- Work closely with cross-functional teams (marketing, sales, executive teams, subject matter experts) to ensure alignment of event goals and objectives.
- Collaborate with in-house experts on speaking engagement opportunities, ensuring deadlines are met and promotions are timely and on-brand.
- Collaborate with in-house and event shipping and receiving teams, material handling warehouse personnel, and contracted labor resources.
- Evaluation & Reporting
- Collect feedback from attendees and team members to evaluate the success of the event.
- Create post-event reports summarizing key performance metrics, budget tracking, and recommendations for future improvements.
- Event Strategy
- In partnership with the Director of Marketing, develop and manage a multi-year trade show and event strategy. This includes intake with SMEs, sales enablement, pre-and-post event promotions, lead generation, nurture, booth design, staffing, promotional items.
- Propose and manage budget.
- Ensure Trade Show participation aligns with marketing and sales objectives.
Required Qualifications
- 1+ years of experience in corporate event planning.
- High school diploma or equivalent.
- Strong interpersonal skills.
- Ability to confidently interact with warehouse operations, proactively follow up with vendors, and maintain clear, effective communication with the sales team and internal staff.
- Strong project management skills, with ability to multitask and meet deadlines.
- Proficiency in Microsoft Office Applications (Word, Excel, PowerPoint, Outlook).
- High attention to detail with a keen focus on stakeholder and customer input.
- Ability to work on-site in Longmont, CO 3-4 days per week.
- Ability to travel up to 30% of the time.
- Ability to lift up to 50lbs.
Preferred Qualifications
- Experience with B2B or manufacturing companies.
- Some college or undergraduate degree.
Location: This position will work onsite in our Longmont office 3-4 days a week, with flexibility for remote work the other 1-2 days.
Base Compensation: $26 - $30 per hour is the projected compensation range for this role depending on the candidate’s overall qualifications and experience.
Closing Date: September 30th. While we expect to keep the position open through this date, the posting may be extended or closed early based on applicant volume and hiring needs.
