We are looking for a full-time Accounts Payable Associate at our Tonawanda, NY location. This is an onsite full-time position that is primarily responsible for processing vendor invoices for payment. 


Schedule

Monday-Friday, 8 a.m.-4:30 p.m., with 30-minute unpaid lunch.


Responsibilities

  • Assist Accounting with A/P invoice processing, accurately review, code and process vendor invoices into ERP system, matching invoice with check and scanning into digital archive. 
  • Performs monthly reconciliations of vendor accounts/statements.
  • Maintain vendor accounts while staying in compliance with company policies and procedures.
  • Makes phone calls and answers any questions from departments or vendors in regards to invoice payments.
  • Attend MRR meetings (meetings with Quality department to resolve open items with vendors)
  • Contacts departments to clarify any questionable invoice items, prices, or receiving issues affecting the scheduling of invoice payments.
  • Answer A/P emails in a timely manner.
  • Open A/R checks, stamp for deposit and complete bank deposit slip.
  • Maintenance of W-9 forms, including forwarding requests to vendors and entering completed information in production system.
  • Open, sort and date stamp all general A/P correspondence.
  • Monitor and maintain an adequate amount of postage in meter.
  • Meter outgoing mail and collect postage due from employees when required.

Requirements

  

  • High School Diploma, or equivalent required; Associates Degree in Accounting preferred;
  • Two years verifiable fulltime experience in a fast pace office environment with accounts payable or general accounting experience preferred.
  • A customer-focused perspective in all activities initiated to ensure that customer needs are successfully met. 
  • Ability to carry out detailed written and/or oral instructions and meet deadlines. 
  • Excellent communication skills both written and verbal.
  • Familiar with general office practices and procedures.
  • Knowledge of basic accounting policies.  
  • Proficiency in Microsoft Word, Excel and Outlook. 
  • Strong attention to detail and a proactive mindset.
  • Ability to work independently and prioritize tasks.
