Responsibilities:
Our business seeks an experienced and highly motivated Administrative Assistant to provide support to the Chief Financial Officer, the Chief Human Resources Officer and senior members of the human resources and finance teams. The ideal individual will possess strong administrative, organizational and communication skills and can exercise good judgment in a variety of situations to maintain a realistic balance among multiple priorities.
Responsibilities include, but are not limited to, the following:
> Serve as gatekeeper to professionals and maintain relationships with clients, investors, prospective clients and internal employees;
> Arrange domestic and international travel across time zones for professionals, including flights, cars, hotels, visas and other reservations;
> Manage calendars, schedule appointments, coordinate with other assistants and confirm meetings with clients and colleagues;
> Schedule conference rooms for internal and external meetings; coordinate supporting technology;
> Meet and greet guests; register guests in visitor system;
> Assist in the development of internal and external meeting materials to ensure professionals are prepared for client pitches, conferences and speaking engagements and follow up on any action items;
> Send and reply to emails on behalf of professionals; draft other correspondence;
> Communicate with clients on a regular basis;
> Track, prepare and process expense reconciliations, out-of-pocket reports and invoices;
> Handle confidential documents and correspondence as needed;
> Maintain entry of data and data integrity in databases including Outlook contacts and client tracking databases;
> Cover multiple phone lines, communicate with clients and investors as requested, and handle media inquiries appropriately;
> Manage systems data as needed for use by the Investor Relations team
> Prepare, edit and print presentation materials;
> In office expectation 5 days a week.
Qualifications:
PJT Partners seeks to hire individuals who are highly motivated, reliable, intelligent and have demonstrated excellence in prior endeavors. In addition, qualified candidates will possess the following:
Bachelor's degree preferred;
3+ years in an administrative assistant position, preferably within Financial Services, ideally Investment Banking;
Exceptional organizational and time-management skills; ability to manage multiple priorities and work under pressure; problem solve and make adjustments as needed;
Excellent verbal and written communication skills and attention to detail;
Professional presence, positive demeanour and strong interpersonal skills;
Service-oriented approach; hospitality or customer service background a plus;
Comfortable working and communicating with professional at all levels;
High level of integrity, sound judgment and strong work ethic;
Eagerness to work in an entrepreneurial, results-driven environment;
Proficiency in Microsoft Office Suite.
Experience with CRM systems (Salesforce, BD Corporate a plus)
Expected annualized base salary of $80,000 to $95,000.
This range represents the low and high ends of the expected annualized base salary for this position. The specific base salary received by any employee will be informed by a number of factors, including but not limited to, role level and scope, location, candidate’s relevant qualifications, skills and experience.
Base salary is one component of PJT Partners’ compensation structure. In addition to base salary, PJT Partners’ compensation structure may include additional rewards, incentives and benefits, including but not limited to, a discretionary bonus component.
