About Us

Alloy Wheel Repair Specialists is a national leader in wheel repair and reconditioning. We are seeking a detail-oriented and motivated Administrative & Customer Service Specialist to support our operations, accounting, and customer service teams. This role requires excellent organizational skills, strong communication, and the ability to work in a fast-paced environment.

Key Responsibilities

Daily Accounting Tasks

  • Process cash receipts, check deposits, and daily credit card transactions.
     
  • Submit and verify vendor invoices for Accounts Payable.
     
  • Approve invoices in Recon Pro (ensuring required documentation is attached).
     
  • Communicate with drivers and technicians to obtain proper invoicing.
     
  • Assist with claims management in Dash.
     
  • Support Paylocity functions, including resolving missed punches with managers.
     

Month-End Responsibilities

  • Ensure all invoices are approved prior to close deadlines.
     
  • Process credit card, cash, and check receipts within 3 hours of published close time.
     
  • Maintain accuracy and timeliness of financial reporting.
     

Administrative & Customer Service Duties

  • Answer multi-line phones, greet visitors, and respond to inquiries.
     
  • Handle incoming/outgoing mail, shipping, and receiving.
     
  • Manage office supply orders and inventory requests.
     
  • Provide backup support for dispatching and customer communication via Google Voice and GeoTab.
     
  • Maintain and update customer databases.
     
  • Monitor social media content and online reputation management tools.
     
  • Track, communicate, and follow up on customer quotes, retail wheel orders, and completed jobs.
     
  • Contact customers daily regarding non-repairable wheels, on-hold orders, and completions.
     
  • Perform additional administrative tasks as needed.
     

Software & Tools

  • Microsoft Office Suite: Word, Excel, Outlook, Teams
     
  • Google Workspace (GSuites) with Chrome
     
  • Customer & Operations Tools: GeoTab, Streak (Chrome extension), Eflects, Paylocity, Recon Pro, Dash
     
  • Other Programs/Platforms: GoToMeeting, Google Voice, Netsuite, Yelp, Facebook, Clover, IncentiveFox, Reputation Sensei

Requirements

 

Qualifications

  • Prior experience in administration, accounting support, or customer service preferred.
     
  • Strong computer skills and ability to learn new systems quickly.
     
  • Detail-oriented with excellent organizational skills.
     
  • Ability to manage multiple priorities and meet deadlines.
     
  • Professional communication skills, both written and verbal.
     
  • Team player with a proactive, problem-solving mindset.
