Position Summary
The following is a brief description of responsibilities to be performed by the Administrative Assistant who will report to and support the Chief Financial Officer, Chief Executive Officer, and the SVP, General Merchandising Manager.
Key Responsibilities
A typical day may include:
Relieve the executive of administrative functions. Personal assistant duties as needed.
Handle a variety of situations and conflicts involving the clerical and administrative function of the office.
Maintains confidentiality of all sensitive information.
Prepare routine and advanced correspondence including letters, memoranda, spread sheets, reports board meeting materials, PowerPoints.
Maintain the Master Calendar for the Merchandising department; schedule new meetings, meeting rooms, preparing agendas, materials, and arranging refreshments as needed; also responsible for taking notes, composing minutes (sometimes issued without review), and participating in staff meetings, special committees, and task forces
Makes travel arrangements as needed utilizing Concur system (flight, hotel, car service, restaurant reservations) for CMO, CFO and Merchandising teams. Create detailed travel itineraries for executive. Handles receipts and processes expense reports. Negotiates rates and contracts with hotels and various tradeshows.
Company administrator for Concur and Wells Fargo. Create and maintain employee profiles. Ensure expense deadlines are met. Work with audit teams to complete annual audits.
Reads all incoming mail and prioritizes; highlights relevant articles/materials for executive’s review; directs mail to appropriate staff.
Types outgoing correspondence; proofreads for accuracy and format; compares routine correspondence on own initiative and specialized correspondence as directed.
Creates and maintains office files. Anticipates need for information and organizes files for easy access. Maintains highly confidential information; financial, strategic and business plans or documents relating to key business issues.
Organize various appointments. Schedules tentative appointments without prior clearance; keeps tabs on calendar to avoid overbooking and assists in meeting preparation; on own initiative, anticipates and prepares material for appointments. Screens meetings to ensure that attendance is appropriate; determines alternate attendees if applicable. Helps prioritize time to achieve proper balance of meetings vs. other responsibilities.
Submits general department supply requests through NetSuite.
Help support Tilly’s Life Center non-profit when needed.
Qualifications
Your experience brings:
Strong proficiency in Microsoft Office applications: Word, Excel, PowerPoint, and Outlook.
Ability to perform all essential duties and responsibilities listed above with minimal supervision, handling assignments with the highest level of discretion, judgment and independence.
Excellent written and verbal communication skills.
Strong critical thinking skills.
Impeccable organizational and time-management abilities.
Self-starting personality with the ability to handle multiple projects simultaneously.

Education & Experience
10 or more years of experience supporting senior executives.
3-5 years experience with a public retail company preferred.
High School Diploma required.
Bachelors Degree preferred.
Work Environment & Physical Demands
- Professional office setting with low to moderate noise
- Ability to sit or stand for extended periods
- Regularly lift/move up to 20 lbs and navigate stairs
- Frequent walking and movement between floors/departments

Compensation
Hourly Range: $75k – $85k
Final offer will be based on experience, skills, and qualifications.
What to Expect
Schedule: Full-time role with weekday office hours; occasional evening or weekend work may be required during peak retail seasons.
Work Location: Irvine, CA — minimum of 4 days per week in-office.
