Role Overview
We are seeking a detail-oriented and proactive AR, Credit, and Collections Representative to join our finance team. In this role, you will manage accounts receivable processes including collections, tax certificate review, payment processing, and order release verification. You will also provide backup support for other accounting functions and ensure that all transactions are handled with accuracy and professionalism.
Key Responsibilities

Aging & Collections

  • Contact customers via phone/email regarding past due invoices
  • Follow up to obtain full payment information and ensure payment matches total due
  • Provide copies of missing invoices as needed
  • Escalate unresolved issues to appropriate departments
  • Locate alternative contacts if primary contact is unresponsive
  • Review and manage orders on hold due to payment or verification issues
    • Contact customers for payment details and release orders upon approval
    • Verify new customer orders for fraud prevention and release as appropriate

Tax Certificate Management

  • Review and validate tax-exempt certificates
  • Communicate with customers regarding any required corrections
  • Upload valid certificates to tax software system and create new accounts if necessary
  • Remove tax from qualifying transactions

Phone & Email Support

  • Answer incoming calls from the credit queue and assist customers
  • Process credit card payments over the phone
  • Manage shared credit/AR inbox, responding to or escalating inquiries as needed

Accounting Support (Backup for Jamie)

  • Post lockbox, ACH, and check payments for USD and CAD accounts

General Administrative Duties

  • Mail invoices daily
  • Manage the front counter daily
  • Reconcile counter cash box
  • File packing slips
  • Mail monthly statements
Qualifications
  • 2+ years of experience in Accounts Receivable, Credit, or Collections preferred
  • Strong communication and customer service skills
  • Proficient in Microsoft Office Suite (Excel, Outlook)
  • Familiarity with Avalara or similar tax software is a plus
  • High attention to detail and organizational skills
  • Ability to prioritize and manage multiple tasks in a fast-paced environment
