About This Opportunity
We’re seeking a proactive and organised Administration Officer to support the day-to-day operations of the QAAFI Administration Team. This role is key to ensuring smooth office coordination, stakeholder engagement, and efficient administrative processes.
Reporting to the Principal Administration Coordinator, you’ll be part of a collaborative team that supports research and innovation in agriculture and food sciences.
Key responsibilities will include:
- Provide high-level administrative support and coordinate day-to-day office operations
- Act as the first point of contact for internal and external enquiries, ensuring timely and professional responses
- Manage calendars, meetings, and correspondence, including preparation of relevant documentation
- Maintain systems, records, and standard operating procedures to support efficient workflows
- Coordinate and support events, workshops, and functions, including logistics, budgeting, and stakeholder engagement

About You
You’re a proactive and organised administrator with a strong customer service focus and the ability to manage competing priorities in a dynamic team environment.
You’ll also bring:
- A degree or diploma with subsequent relevant experience or secretarial administrative experience or an equivalent combination of relevant experience and/or education training.
- Strong interpersonal and communication skills, with a commitment to high-quality service
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
- Effective time management, problem-solving, and organisational skills
- Experience working collaboratively in a busy team setting
- Supervisory capabilities and a willingness to support others
- Familiarity with university systems, policies, and procedures or the ability to quickly learn them.
The successful candidate may be required to complete a number of pre-employment checks, including: verification of right to work in Australia.
