First National Bank of America is seeking a proactive and detail-oriented Executive Assistant to support our team and ensure seamless daily operations. The Executive Assistant provides high-level administrative support to the CIO and their team. As a key member of the team, this role requires a high level of independent judgment, strong organizational skills, and the ability to manage competing priorities in a dynamic environment. The Executive Assistant serves as a trusted partner, ensuring the CIO and their department operates efficiently and strategically. This role also acts as a liaison between the CIO other Executive team members, direct reports, staff and external vendors. The ideal candidate is a proactive problem-solver who is organized, adaptable and capable of managing multiple priorities while maintaining discretion and professionalism.
Responsibilities:
- Serve as a central point of contact for internal and external communications, professionally managing phone calls, emails, and correspondence with timely follow-ups
- Manage complex calendars for the CIO and multiple team members, including high-level internal and external meetings, events and departmental activities
- Accurately prepare executive communications, presentations, meeting agendas, record minutes, reports and ensure timely distribution and follow-up on action items
- Support audit and compliance efforts by assisting with documentation, tracking request statuses, and ensuring timely completion
- Arrange and organize conferences, off-site meetings, collaborating with other internal departments when necessary
- Utilize a variety of communication platforms (e.g., cell phone, Microsoft Teams, RingCentral, email) with efficiency and adaptability
Qualifications:
- 5-7 years of proven experience in an executive support role as an Executive Assistant, managing leadership at a full-service level
- Proven experience managing and optimizing executive-level calendars, handling extensive scheduling and regular reprioritizing
- Experience managing high-level of written communications, including drafting and editing correspondence, preparing confidential materials, and overseeing email
- Experience as the main point of contact for an executive
- Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint), Teams, and OneDrive
