About the role:
Office Administration & Operations
• Oversee daily office operations to ensure efficiency and organization.
• Maintain office systems, including phone, mail, filing, and supplies.
• Manage vendor relationships for office services (supplies, equipment, maintenance, IT support).
• Develop and maintain administrative policies, procedures, and standards.
• Handle incoming calls, correspondence, and front-desk reception duties as needed.
Executive & Staff Support
• Assist with the preparation of corporate reports, presentations, and communications.
• Coordinate company meetings, training, and events, including logistics, catering, and materials.
• Support onboarding of new corporate staff, including workspace setup and technology access.
Financial & Recordkeeping
• Assist with expense reporting for office-related expenditures.
• Maintain corporate records, compliance documentation, and confidential files.
• Support HR and accounting teams with administrative tasks as needed.
Property Management Support
• Serve as a point of contact for property managers needing corporate resources.
• Coordinate communications and information flow between corporate and onsite property staff.
• Assist with scheduling, training sessions, and compliance monitoring for property management operations.
Workplace Culture & Environment
• Promote a professional, positive, and collaborative office atmosphere.
• Ensure shared spaces (kitchen, meeting rooms, supply areas) remain clean, organized, and stocked.
• Plan and coordinate staff appreciation activities, training refreshments, and seasonal events.
Qualifications
• 3–5 years of experience in office administration, office management, or executive support (property management or real estate industry experience preferred).
• Strong organizational, time management, and problem-solving skills.
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and ability to adapt to industry-specific software.
• Excellent written and verbal communication skills.
• Ability to manage sensitive information with professionalism and discretion.
• Demonstrated ability to manage multiple priorities in a fast-paced environment.
