Summary of Duties and Responsibilities
The Database & Analytics Manager oversees the overall operational efficiencies of the Philanthropy department. They develop strategies needed to maximize the software capabilities of The Neon Museums and support the Philanthropy team in making data-informed fundraising strategies. Emphasizing efficiency, the Database & Analytics Manager proactively provides data analysis and reporting, manages data conversion strategies, and creates best practices for donor information management.
Key responsibilities encompass overseeing and optimizing the Philanthropy team’s administrative use of The Museum’s donor software, Tessitura; managing gift entry and acknowledgement processes; delivering regular reports to The Museum’s Philanthropy department; coordinating intra- and inter-departmental meetings; and providing administrative support. The Database & Analytics Manager must be highly analytical and detail-oriented, possessing a solid understanding of fundraising fundamentals. This is a full-time, regular position that reports directly to the Director of Philanthropy.
Desired Skills and Competencies
- Manage the work of the data entry to ensure that information flows quickly and accurately, from hard copy to the Philanthropy database to ensure data-driven, efficient fundraising strategies and functional reporting
- Strategize, create, and maintain workflows for the Philanthropy team by leading the development of custom reports, dashboards, and overall dataflow management in Tessitura.
- Create plans in Tessitura in collaboration with the executive Philanthropy team, ensuring each key player fulfills their required responsibilities, in addition reporting on plan outcomes.
- Liaise within the Philanthropy team and with other departments on list management as it pertains to pulling lists of donors for communications.
- Process all General Operating Support (GOS) and gifts made to the Museum.
- Establish and maintain a system for end users to request reports and work proactively to develop reports that meet the evolving needs of the fundraising team.
- Work with Finance department to develop accurate reconciliation procedures and create required reports in a timely fashion, including but not limited to data entry (batch) reports, pledge reports, and other reports for reconciliation.
- Develop and maintain standard operating procedures for the Philanthropy database operations, including documentation of data entry, standard reports, queries, exports, etc.
- Work with the Finance and CRM departments to ensure all business processes comply with established procedures, and that organization-wide database activities are efficient and well-coordinated.
- Input and maintain all gift processing and donor records in a timely and accurate manner.
- Create, build, and maintain accurate donors, mail, and email lists.
- Coordinate the production of fundraising correspondence and collateral, including acknowledgment and appeal letters, proposals, donation forms and invitations.
- Collaborate with the Director Philanthropy, Deputy Director, and the Executive Director in the execution of strategic fundraising plans.
- Provide exemplary customer service to all donors and prospects and promote the Museum’s programming and outreach in a professional manner.
- Provide supplementary support to the team members including, responding to membership inquiries when the Philanthropy & Membership Officer is unavailable, and provide additional administrative support to the Grants & Corporate Appels Manager when needed.
- Assist with cost-effective events, including coordinating and managing sponsors, among other development-related duties.
- Work collaboratively with other departments to maintain cohesive workflow and communications across the Museum.
- Demonstrate consistently positive interpersonal skills that promote open communication, mutual respect among colleagues, and commitment to mission.
- Maintain strict confidentiality on all donor and constituent information, fundraising and prospecting strategies and internal procedures.
- Identify prospective donors and conduct research.
- Create, update, and manage departmental reports as scheduled or requested.
- Attend museum events as needed.
Requirements
Qualifications & Desired Skills
§ At least three years of experience in development operations/administration, office
§ management/administration/operations, executive support, or similar, preferably for a museum or cultural institution.
§ Familiarity with and a willingness to learn about financial administration and reporting
§ Proven ability to prioritize competing deadlines both individually and as part of a team.
§ Strong interpersonal skills, with a courteous and professional demeanor.
§ Excellent written and verbal communication skills
§ Attention to detail, with strong analytical and critical thinking skills.
§ Experience with Microsoft Office, especially Microsoft Excel and Power BI.
§ Bachelor’s degree or equivalent experience
§ Superior project management skills and attention to detail
§ Strong computer literacy and technology skills, including administrator-level expertise in relational database (CRM) software (experience with Tessitura preferred).
§ Excellent verbal and written communication skills
§ Aptitude for creating and maintaining systems, facility working with numbers, and strong overall data reporting and analysis abilities.
Working Conditions
· Available to work varied shifts and extended hours, including occasional evenings, weekends, and holidays.
· Ability to work outdoors in seasonal desert weather conditions
· Ability to work indoors in a climate-controlled environment, sitting / standing for long periods of time.
· Ability to lift 35 pounds.
· Ability to use a computer and office equipment, knowledge and use of Microsoft products
· Valid clean driver’s license and use of a car.
