Marketing Coordinator
RiverWoods Exeter is currently looking for a someone to come and join our team full time within our sales and marketing team to perform a variety of clerical, administrative, and sales functions in support of the RiverWoods Sales and Marketing efforts.

Responsibilities
- Establish a friendly and professional first impression for all visitors, whether in-person, via phone or email. Perform initial screening questions to guide visitors in the right direction. A patient, welcoming attitude is required, along with a solid knowledge of RiverWoods marketing information. Conduct initial discussions with walk-in prospects when sales counselors are not available, providing information, and conducting abbreviated tour.
- Responsible for management of the Salesforce database, including input of prospect information and lead sources, updating database with requests from prospects to be removed, and assisting other team members with Salesforce questions. Update records to reflect changes to status, address, floor plan choices, and where there are move-ins, deposits, deaths, resident referrals, and lost leads. Coordinate timely submission of payments, refund requests, and resident referrals. Maintain the distribution of new leads via an ‘up’ calendar for sales counselors.
- Prepare letters and packages on a timely basis to be sent to prospects in support sales counselor’s activities.
- Support the sales effort by inputting financial information into software for qualification purposes; re-run numbers to meet different financial criteria or floor plans.
- Prepare the documents for new resident in preparation for closing appointment, coordinate with sales counselor the closing and move-in date.
- Manage event logistics and record all RSVPs for events in Salesforce; prepare name tags for in-person events. Distribute accurate information to event registrants and assign leads to sales counselors for follow up. Confirm and coordinate with event presenters, prepare PowerPoint presentations and coordinate rehearsals with stakeholders. Participate as active team member at all marketing events, managing registration area, and ensuring easy flow of attendees during events.
- Create and administer virtual events through use of Zoom or other virtual meeting software. Initiate follow-up communications to webinar attendees with event recordings.
- Complete updates to events page on website.
- Invoice review, coding and approval through finance software, including personal expense account.
- Prepare Salesforce reports as requested by others.
- Monitor and order all required department supplies, including contracts, sales brochures, letterhead, and office equipment. Make decisions on equipment purchases. Assist in ensuring contracts are up to date (state approved process).
- Maintain inventory of floor plan schematics and update floor plan schematics to reflect current design standards. Take photos and “360” Ricoh videos of apartment refurbishments. Maintain library of video content of apartments.
- Train new staff members on Salesforce and help troubleshoot difficult issues.
- Attend department and community meetings as needed, such as Weekly Marketing Meetings & Bi-Weekly Group Marketing Meetings.
- Always act professionally and honestly in the representation of the community’s concept of senior living.
- Assist residents in a timely and professional manner in a variety of requests, as they occur.
- Maintain organized, accurate and easy to locate files.
- Process in-coming and out-going mail.
- Prepare purchase requisitions for and manage the supply inventory, equipment supplies and materials. This includes verifying packing slips and processing invoices for payment.
- Maintain administrative skills level appropriate with the demands of the Sales & Marketing office.
Qualifications
WORK SCHEDULE: Generally, Monday through Friday from 8:30 AM to 5:00 PM, and as needed for special events and for evening and weekend appointments with prospects.
EDUCATION: Associate Degree (or Higher) in Communications, Marketing or Business Management.
EXPERIENCE: Minimum of two years working experience in the administrative field, preferably within a marketing organization. Competency using Microsoft Office, WordPress, Mailchimp, Adobe, and SalesForce experience preferred.
