Outreach Specialist Job Description 

 

Reports to: Training & Support Manager, TeamMates Mentoring Program

 

Basic Function and Responsibility: The Outreach Specialist is responsible for providing high-quality support to mentors and mentees across our six-state region. This role ensures the success of mentor-mentee relationships by delivering exceptional customer service, consistent match support, problem resolution, and training for volunteer mentors. The ideal candidate is a proactive communicator, strong relationship builder, and passionate about youth development and volunteer engagement.

 

Qualifications:

Bachelor’s degree in social work, education, psychology, nonprofit management, or related field (or equivalent work experience).

  • Ability to build and maintain supportive, professional relationships with diverse individuals.
  • Clear, empathetic, and effective communicator with youth, adults, and community stakeholders.
  • Skilled in identifying issues early and applying sound judgment to resolve them constructively.
  • Comfortable leading small group trainings and individual onboarding sessions (virtual or in person).
  • Attention to detail and discretion in reviewing applications, conducting interviews, and interpreting background checks.
  • Ability to work respectfully and effectively with individuals of varying backgrounds, identities, and life experiences.
  • Organized and able to balance multiple priorities, match caseloads, and outreach projects across a large region.
  • Comfortable using CRM systems, video conferencing tools, and Microsoft Office (especially Excel, Word, and Outlook).

 

Duties and Responsibilities: 

Match Support 

  • Provide ongoing match support through regular check-ins, coaching, and resource sharing.
  • Monitor the health and longevity of mentor-mentee relationships and take proactive steps to address challenges.
  • Ensure all match activity is accurately documented in the organization’s database.

Customer Service & Communication

  • Serve as a responsive, knowledgeable point of contact for mentors, mentees, and families across the region.
  • Resolve concerns and provide guidance in a timely and empathetic manner.
  • Foster trust and accountability through clear, consistent communication.

Volunteer Screening

  • Conduct interviews, reference checks, and background screenings of prospective adult volunteer mentors.
  • Evaluate the suitability of volunteer candidates in alignment with organizational standards and youth safety protocols.
  • Provide prospective mentors with clear information about program expectations, timelines, and responsibilities.
  • Maintain confidentiality and professionalism while handling sensitive volunteer information.

Training

  • Facilitate mentor orientations and ongoing training sessions, both in-person and virtually.
  • Collaborate with program staff to develop and update training resources and materials.
  • Support mentor engagement and retention through targeted development opportunities.

Problem Solving & Conflict Resolution

  • Identify early signs of match conflict or disengagement and intervene with support strategies.
  • Use active listening and conflict resolution skills to strengthen match relationships.
  • Partner with supervisors and external contacts as needed to resolve more complex challenges.

Community Outreach & Engagement

  • Build relationships with community organizations, schools, and potential referral sources to strengthen program awareness and reach.
  • Represent the organization at outreach events, fairs, and community presentations.
  • Collaborate with the recruitment team to identify and connect with prospective mentors.

Data Management & Reporting

  • Maintain detailed and timely records of match support, mentor communications, screening, and outreach activities.
  • Assist in compiling reports on match retention, regional outreach outcomes, and engagement metrics.
  • Use data insights to inform outreach strategy and continuous program improvement.

 

Location: TeamMates Program Headquarters Office - Gretna, NE

 

Working Conditions: This position works in a fast-paced, collaborative environment with a flexible 40-hour a week schedule, both in the office and remotely/ for travel and events. Local and overnight travel may be needed occasionally, as well as the ability to present and hold virtual learning space. The ability to work a flexible schedule as needed.   Physical requirements include the ability to work at a desk and in front of a computer for extended periods of time, engage in repetitive movements, and occasionally lift up to 20 pounds.
