About the Role:

The Administrative Assistant at G4 Construction Services LLC plays a pivotal role in ensuring the smooth and efficient operation of our construction business. This position is responsible for managing a variety of administrative tasks that support the President of the company. The ideal candidate will be instrumental in coordinating schedules, handling correspondence, and assisting with documentation to enhance overall productivity. By providing reliable administrative support, the Administrative Assistant helps to streamline processes and contribute to the company’s operational success. This role requires a proactive individual who can manage competing priorities with professionalism and attention to detail.

Responsibilities:

  • Handle correspondence, emails and phones calls on behalf of the President, acting as the main point of contact.
  • Schedule meetings, prepare agendas and ensure all necessary materials are prepared and available.
  • Prioritize appointments and resolve conflicts while maintaining the President's calendar.
  • Prepare and manage constructions contracts, change orders, purchase orders and other essential documents.
  • Track invoices, code expenses and submit for payments, including the preparation of reports on project costs.
  • Assist with the coordination or project logistics, such as scheduling site visits, managing permits, and ensuring timely delivery of materials, serving as the point of contact for clients, vendors, and subcontractors.
  • Additional duties as assigned.

Minimum Qualifications:

  • High school diploma or equivalent required; Associate’s degree or higher preferred.
  • Proven experience as an administrative assistant or in a similar administrative role, minimum of 5 years.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Strong organizational and time management skills with the ability to multitask effectively.
  • Excellent written and verbal communication skills.

Preferred Qualifications:

  • Experience working in the construction industry.
  • Familiarity with office management software and basic accounting principles.
  • Ability to use project management tools and databases.

The Administrative Assistant utilizes strong organizational skills daily to manage schedules, coordinate meetings, and maintain accurate records, ensuring operational efficiency. Proficiency in Microsoft Office enables the creation of professional documents, reports, and presentations that support various departments. Effective communication skills are essential for interacting with internal teams, vendors, and clients, facilitating clear and timely information exchange. Time management and multitasking abilities allow the assistant to prioritize tasks and handle multiple responsibilities without compromising quality. Preferred skills such as familiarity with industry-specific software and knowledge of safety regulations further enhance the assistant’s capability to support the manufacturing environment effectively.

According to the New York Pay Transparency law, pay range for this job is $22.00 - $28.00 / hour. The actual compensation will be determined based on experience and other factors permitted by law.
