Marketing Associate
Location: Wilton, CT (the office is moving to Norwalk, CT in the fall of 2025)
The Marketing Associate position offers a distinctive opportunity to contribute to both digital marketing initiatives and event support. The successful candidate will demonstrate a collaborative approach, proactive mindset, and a commitment to continuous learning and technological proficiency. In this role, you will assist in planning and executing a variety of marketing activities including event coordination, email campaigns, and broader marketing efforts. Event formats may include nationwide in-person gatherings, virtual events, trade shows, conferences, and select internal engagements. Additionally, you will participate in digital marketing tasks such as social media and SEO.
Key qualifications include exceptional communication and organizational abilities, as well as experience partnering across diverse teams within the firm. The chosen candidate will develop expertise with our CRM and marketing platforms essential for event execution, such as Salesforce, HubSpot, CVENT, and Zoom. Comfort with a fast-paced work environment and capability to manage multiple priorities is essential.
Responsibilities:
- Support general maintenance of the event registration platform (CVENT and integrations with Salesforce and HubSpot)
- Collaborate firm-wide to plan events aligned with requirements, audience, and objectives
- Develop target audiences per criteria and distribute invitations via email or physical mail
- Monitor event progress and ensure all milestones are achieved
- Generate reports to assess event performance
- Establish registration sites and oversee registration processes
- Coordinate contact updates for event participants with sales and service teams
- Manage marketing email inboxes related to event communications
- Oversee event schedules and deliverables
- Identify suitable venues throughout the U.S., negotiate venue contracts covering food, beverage, space, and additional support as needed
- Arrange IT/audio-visual services through venues or third-party providers
- Ensure adherence to all relevant regulations
- Coordinate speaker involvement
- Attend events as required to supervise logistics and ensure smooth operation
- Maintain the marketing events calendar
- Distribute post-event surveys and evaluations
- Provide project assistance to the marketing team, including social media and SEO tasks
Requirements:
- Minimum two years of experience in marketing or project management
- Bachelor's degree required
- Genuine interest in understanding how our marketing systems work and ability to learn quickly.
- Experience with Salesforce, HubSpot, CVENT, or equivalent marketing platforms
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint)
- Ability to collaborate effectively across departments
- Competence managing event budgets and negotiating vendor contracts
- Outstanding interpersonal, organizational, written, and verbal communication skills
- Strong attention to detail, follow-through, and dedication to high-quality work
- Project management proficiency
- Willingness to travel as necessary
The position is based primarily at the Wilton, CT office. We are currently on a hybrid schedule. The standard expectation is in-office attendance from Tuesday through Thursday, with remote work on Mondays and Fridays.
