DEFINITION

Perform a wide range of tasks and high-level functions for Brighton's City Hall. Provide general information, assistance and direction to walk-in customers. This position must work well in group setting/peers and with the public, while providing excellent, respectful customer service and human relations skills, which support the City of Brighton's mission and values.

SUPERVISION EXERCISED AND RECEIVED 

Receives general supervision from the Executive Assistant CMO Office 

EXAMPLES OF IMPORTANT/ESSENTIAL RESPONSIBILITIES AND DUTIES

Greets the public entering the building and determine the nature and purpose of the visit; directs customers to specific destinations (inside and outside of city hall); answers questions and provides information to the public.

Answers switchboard for city and direct calls; collects and distributes messages for employees.

Manages public/department calendars; receives and stages meeting attendees, announces/arranges for escort to secure areas of building.

Manages and distributes complaints from the public.

Manages visitor pass system.

Maintains emergency management, first-responder certification for switchboard operations; and identifies security risks.

Maintains knowledge of public safety practices, security operations, rules, regulations, precautions, prevention, and the protection of people, data, and property.

Exercises frequent independent judgment within agreed-upon limits; maintain positive, pleasant attitude.

Regular and predictable attendance is required.

Performs other duties and responsibilities as required.

QUALIFICATIONS

Knowledge of:

Multi-line phone system.

Human behavior and assessment.

Microsoft Office: Word, Excel, PowerPoint, Outlook, Access, and Publisher.
Web-based research.

Ability to:

Talk and hear in person and by telephone and speak in a manner that is easily understood by co-workers and the public.

Actively listen to people and ask questions as appropriate. Actively look for ways to go above and beyond to help people.

Understand various methods for describing different locations in the city.

Establish and maintain relationships with customers.

Adjust reactions in relation to others' actions. Diffuse/redirect anger in customers.

Identify the nature of a problem and come up with a solution.

Identify security risks and take action without hesitation.

Recall and outline defining features of a person/event during an emergency.
Remember information such as words, numbers, pictures, and procedures.

Assess details of a situation and recall those details upon request.

Multi-task and prioritize duties.

Reorganize information to identify a better approach.

Use logic and analysis daily.

Determine when important changes have occurred and notify supervisor.

Ability to see, read, and understand clearly the instructions and characters on a computer screen.

EDUCATION AND EXPERIENCE

Graduation from high school or equivalent. Preference will be given to candidates with specialized or related training (i.e., security, psychology, reception/administrative, etc.).
One (1) year of related experience i.e., dealing with the public and security-related duties.

PHYSICAL REQUIREMENTS

Physical ability to perform essential job functions: while performing the duties of this job, the employee is regularly required to sit, stand, walk, talk, hear, see and demonstrate manual dexterity. The employee is occasionally required to kneel, stoop, and perform light lifting, up to20lbs.

SPECIAL REQUIREMENTS

Bilingual in English/Spanish required.

Possess valid Colorado Driver's License with safe driving record.

Ability to complete FEMA ICS 100 and IS 700 training within six (6) months of hire.
