HR Assistant (Student or Part-Time Opportunity)
Position Type: Part-Time (Fall Semester or Immediate Start), transitioning to Full-Time
Location: Minneapolis, MN 55403
Schedule: 8–15 hours/week during Fall Semester or initial part-time period; Full-Time starting December or January  

Introduction:
Mid-Minnesota Legal Aid (MMLA) is seeking a dedicated individual to join our dynamic HR team. This opportunity is open to current students looking for hands-on experience in human resources, as well as individuals who are available to begin in a part-time capacity and transition into a full-time role later in the year. The position is designed to support your growth while contributing meaningfully to our HR operations, with the goal of moving into a full-time role in December or January.

Primary Responsibilities: 

  • Recruitment Support: Collaborate with hiring managers to update and advertise job postings, schedule interviews, complete reference checks, and manage candidate communications including rejections and offer letters. Conduct 6-week check-ins with new hires.
  • Onboarding Coordination: Process new hire paperwork, complete I-9s, set up employee profiles in HR systems, and ensure files are complete. Schedule and conduct weekly New Hire Orientation sessions, including union-specific onboarding and coordination with IT for account setup.
  • HRIS and Benefits Administration: Enter employee changes into ADP and Flock systems. Enroll new hires in benefits, manage COBRA notifications, and assist with open enrollment tasks.
  • Employee Records and Compliance: Maintain accurate personnel files, update organizational charts and directories, and ensure compliance with training and documentation requirements. Support DEI reporting and AA/EEO preparation.
  • Training and Development: Lead or support training sessions, prepare materials, update training records, and send performance review reminders. Stay current on HR trends through webinars and podcasts.
  • Payroll and Timekeeping Support: Back up weekly “HR Office Hours” sessions and accurate timecard submissions.
  • Termination Processing: Manage termination documentation and system updates, and review exit surveys.
  • Administrative and Project Support: Respond to HR inbox inquiries, file documentation, support ongoing HR projects, and contribute to monthly HR updates and newsletters.
  • Quarterly and Annual Tasks: Participate in handbook reviews, compliance poster updates, benefits pricing, and benefits enrollment coordination.

Required Qualifications: 

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Microsoft Forms.
  • Strong organizational skills and attention to detail.
  • Excellent written and verbal communication abilities.
  • Commitment to Diversity, Equity, and Inclusion (DEI) principles.
  • Ability to manage multiple priorities in a dynamic environment.
  • Collaborative and proactive approach to team support and problem-solving.
  • Demonstrated openness to feedback and a commitment to continuous learning.

Preferred Qualifications: 

  • Prior experience in human resources, talent acquisition, or employee onboarding.
  • Familiarity with HRIS platforms such as ADP and benefits administration tools like Flock.
  • Experience managing employee files and compliance documentation.
  • Knowledge of labor relations or union onboarding processes.
  • Ability to conduct training sessions and prepare instructional materials.
  • Experience with DEI reporting, applicant flow tracking, or AA/EEO documentation.
  • Comfort with handling payroll-related tasks and generating reports.
  • Strong interpersonal skills and ability to build rapport across departments.
  • Experience using survey tools or engagement platforms to support HR initiatives.

Compensation Information: 

  • The full-time salary range for this position is $52,661 to $55,874 per year, depending on experience. Part-time compensation during the fall semester will be prorated based on hours worked.
  • Please note:
    • No health benefits are offered during the part-time period.
    • Full-time benefits will begin once the employee transitions to full-time status in December or January. These include family medical and dental insurance, short- and long-term disability, life insurance, 403(b) with employer match, FSA, employee assistance programs, and generous paid time off.
  • Salary Determination: Salary is based on relevant prior experience and aligned with our organizational salary matrix. Candidates are placed on the schedule according to years of directly related experience to ensure consistency and equity.
  • Language Proficiency Credit: For client-facing roles (e.g., attorneys, legal assistants, intake staff), fluency in a relevant non-English language or ASL may count as one additional year of experience. Fluency must be certified at Intermediate High or above, with sufficient oral and written skills to perform all job duties without an interpreter. Assessment is conducted by an external testing service.
  • Language Requirement (if applicable): If a role requires fluency in a specific language or ASL, candidates must achieve a certified rating of Intermediate High or above in both oral and written communication. Offers are contingent on meeting this standard; failure to do so may result in withdrawal of the offer.
