The Details:
The Administrative Office Assistant will report directly to the Senior Manager, Executive Admin & Corporate Events and will be the first point of contact to greet team members, guests and vendors coming into our La Jolla office. This position will perform a variety of administrative tasks such answering phones, managing correspondence, working with vendors, and supporting in-office meetings. The ideal candidate has a proven track record of being collaborative, positive and professional in the workplace.
What will you do? (Job Duties)
· Warmly welcome and assist all team members, guests, and vendors upon arrival, ensuring a respectful and inclusive environment.
· Answer, screen, and direct incoming phone calls with professionalism, courtesy, and cultural sensitivity.
· Maintain a clean, organized, and welcoming reception area, ensuring that materials such as pens, forms, and brochures are easily accessible to everyone.
· Provide clear, accurate, and timely information in person, over the phone, and via email, using inclusive and respectful language.
· Manage parking and elevator badge processes, including conducting audits and verifying invoice accuracy, with attention to detail and fairness.
· Collaborate with other departments on administrative tasks, coordinate with facilities for office maintenance, and support HR with scheduling needs.
· Receive, sort, and distribute mail and deliveries efficiently, ensuring accessibility for all recipients.
· Support office safety and security by following established procedures and managing access through the reception desk (e.g., monitoring logbook, issuing visitor badges), while respecting privacy and individual needs.
· Perform a variety of administrative tasks such as scheduling conference rooms, ordering meals and coordinating meetings, filing, photocopying, transcribing, and faxing.
· Ensure consistent front desk and office operations by being present on-site Monday through Friday, from 8:00 a.m. to 5:00 p.m.
Requirements
What we are looking for: (Experience)
· Minimum of 2 years of experience in a receptionist, administrative assistant, or similar support role.
· Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and ability to learn new software tools as needed.
· High school diploma or equivalent required; additional training or coursework in office administration is a plus.
· Familiarity with standard office equipment, including printers, scanners, and fax machines.
· Demonstrates a professional, respectful, and approachable demeanor in all interactions.
· Strong written and verbal communication skills, with the ability to communicate clearly and effectively across diverse audiences.
· Proactive problem-solving skills, with the ability to identify solutions and take initiative.
· Excellent organizational skills and attention to detail, supporting accuracy and efficiency.
· Ability to manage multiple tasks and priorities in a dynamic environment.

Pay Range: $47,500-$70,000
The above pay range is for all US-based roles based on function and level, benchmarked against companies of similar size and scope. To be compliant with local legislation as well as provide greater transparency to candidates, we disclose salary ranges on all job postings regardless of the desired job location. We also offer a competitive annual discretionary bonus program and the opportunity for annual long-term incentive stock grants. In addition, we offer a highly competitive benefits package. Final offer amounts are determined by multiple factors, including candidate experience and qualifications, and may vary from the amounts listed above.
