The Executive Assistant provides high level support and project management for Alcanza’s senior executives (Alcanza Leadership Team) to ensure accomplishment of key tasks and company initiatives.

Key Responsibilities

Essential Job Duties: The position provides support and project management for Alcanza’s senior executives (Alcanza Leadership Team). Position will involve exercising discretion on matters of significance, requires strict confidentiality, and responsibilities may include but are not limited to:
  • Assisting in the planning and coordinating of executive meetings, planning sessions, and events, and supporting overall execution of action items and priorities.
  • Acting as a liaison between the CEO and external executives, board members, and others; In a similar capacity may act as a liaison for other members of the ALT with external parties.
  • Collecting deliverables from a cross-functional team, and packaging for delivery in a clear and concise manner.
  • Researching and completing requests, projects, presentations, etc. as needed.
  • Assisting with travel and correspondence, as needed.
  • Assisting with vendor/partner/site outreach, where needed.
  • Maintaining strict confidentiality of employee, customer and company information at all times.
  • Performing all other duties as requested or assigned.

Skills, Knowledge and Expertise

Minimum Qualifications: An Associate’s degree AND a minimum of 5 years of administrative or executive assistant experience, OR an equivalent combination of education and experience, is required. Experience supporting multiple executives is required. Bi-lingual (English / Spanish) proficiency is a plus.

Required Skills:
  • Advanced proficiency with Microsoft applications (Word, Excel, Outlook, Teams and Powerpoint), email, and web applications.
  • The ability to type proficiently (45+ wpm)
  • Must possess strong organizational skills and attention to detail
  • Exceptional written and verbal communication skills
  • Ability to effectively handle multiple tasks, and adapt to changes in workloads and priorities
  • Well-developed interpersonal and listening skills and the ability to work well independently as well as with co-workers, subjects, managers and external customers
  • Must be professional, respectful of others, self-motivated, and have a strong work ethic
  • Must possess a high degree of integrity and dependability
  • Ability to work under minimal supervision, identify problems and implement solutions
  • Ability to handle highly sensitive information in a confidential and professional manner, and in compliance with HIPAA guidelines
