Position Duties

We’re looking for an administrative professional who brings strong customer service and office support experience to our team. In this role, you’ll help us support vital programs in the Developmental Disabilities Division.

You will:

  • Organize and provide administrative support for 4 provider meetings and 3 advisory groups including distribution of materials, scheduling, logistics, and taking notes.  These meetings are held in various formats including in-person, hybrid, and remote.
  • Provide administrative support to colleagues across the division by coordinating events, preparing reports and correspondence, and helping us keep accurate records.
  • Communicate regularly with team members and partners in person and through email, phone, video conferencing, and instant messaging.
  • Assist with responding to and processing referrals for the Early Support for Infants and Toddlers Program, including completing data entry and communicating with parents, physicians, and community partners.
  • Help us stay organized, on track, and focused on our shared goals.

Core Daily Responsibilities:

  • Prepare a variety of routine material and correspondence from written material and recording; proofread and ensure correct grammar, spelling, punctuation, and capitalization on department correspondence.
  • Organize, maintain, and retrieve information and documents from files and records.
  • Process requisitions, vouchers, and invoices; validate payments and place orders for department.
  • Receive and process routine to moderately complex forms and applications, i.e., determines regulatory or procedural compliance; computes or verifies data, fees or payments; assists in the proper completion of forms or documents; and researches governing directives to answer questions and resolve routine problems encountered. May also provide information and advice in response to questions raised by the public served
  • Perform receptionist and general office duties; respond to routine inquiries by telephone or person-to person; fulfill requests for publications or office supplies.
  • Take minutes at meetings. Operate standard office equipment such as copiers, typewriters, personal computers or word processors, postage machines, calculators, and recorders. May verify, code and proofread input and output data.

Minimum Qualifications

  • One year of general clerical work experience. 
  • Additional education or related experience may substitute for the recruiting requirements. 
  • A valid Washington State driver’s license may be required when travel is required for the position.
