🎯 What You’ll Do in This Role:
The Executive Assistant provides comprehensive administrative support to the PACE of Southwest Michigan Leadership Team by managing schedules, preparing and formatting reports and documents, recording meeting minutes, and handling a variety of organizational tasks. This role requires exceptional communication skills, adaptability, and the ability to proactively coordinate logistics in a fast-paced environment. The ideal candidate will be highly organized, detail-oriented, and able to manage shifting priorities while ensuring the smooth operation of the leadership team and contributing to the achievement of organizational goals.
Primary Responsibilities:
Administrative & Operational Support:
- Provide comprehensive administrative support to the Senior Leadership Team, including agenda preparation, meeting minutes, document and presentation management, and database maintenance.
- Assist with capturing, tracking, and following up on action items.
- Manage internal and external communication channels (calls, mail, faxes, and emails) to ensure timely routine and response.
- Oversee office logistics, including ordering supplies, maintaining records, and ensuring smooth day-to-day operations.
- Provide coverage for other administrative positions as needed.
Problem-Solving & Professional Development:
- Serve as a resource for resolving operational issues, exercising sound judgment and maintaining confidentiality.
- Pursuing ongoing professional growth to enhance both personal performance and organizational effectiveness.
Scheduling & Logistics Management:
- Coordinate complex calendars for leadership, schedule meetings, prepare agendas, and manage travel arrangements.
- Organize and execute internal and offsite meetings/events, including venue arrangements, communications, materials preparation, and follow-up.
- Support the hiring process by coordinating with recruiting teams, interacting with candidates, and managing interview logistics.
✅ What You’ll Need:
Experience & Professionalism:
- Demonstrated experience in an administrative support role, ideally reporting directly to senior leadership.
- Ability to work independently with minimal supervision while maintaining high ethical standards.
Communication & Organizational Skills:
- Exceptional written and verbal communication abilities.
- Strong multitasking and time-management skills, with the ability to prioritize and coordinate projects with competing demands.
Technical Proficiency:
- Highly skilled in Microsoft Office Suite (Teams, Word, Excel, PowerPoint, Outlook) and other productivity tools.
- Ability to quickly learn, implement, and train others on new software and systems.
