About the Department

This is a full-time, term limited temporary position or special duty assignment lasting up to August 2026. 


The Department of Adult & Juvenile Detention is accepting applications to fill one (1) full-time Administrative Specialist III (TLT/SDA) vacancy at the Judge Patricia H. Clark Children and Family Justice Center in Seattle with the Juvenile Detention Division.  This position will support work teams and their designated Project/Program Managers, including the Alternative to Detention (ASD) program. The Juvenile Division’s ASD program supports youth and families who are court ordered onto community-based Electronic Home Monitoring (EHM). The Juvenile Division is responsible for the care and custody of youth who are detained in the Juvenile Detention Facility and also operates King County's Alternatives to Secure Detention programs. Position Duties

The job description is an overview and is intended to describe the general nature and level of work being performed. It is not to be an exhaustive list of all the functions and tasks required of this position.

  • Perform essential office duties such as answering phones, faxing, photocopying, communications via electronic mail; process, route, and distribute documents, incoming and outgoing mail, and order office supplies as needed.
  • Work independently to prioritize work assignments and ensure tasks are completed in a timely, accurate, and efficient manner.
  • Access, maintain, create, update, enter, and retrieve information utilizing Microsoft Word, Outlook, SharePoint, Excel, and other department data systems.
  • Enter and maintain data and information in support of both the Division's SharePoint site.
  • Develop and maintain organized, accurate, and accessible records and filing systems containing sensitive and complex computer records, correspondence, and related documents.
  •  Maintain security and confidentiality of highly sensitive communications and information in all forms (i.e., written, verbal, and electronic).
  • Process payroll documents and enter necessary data into the Roster Management System.
  • Provide exceptional customer service when responding to information requests from the general public, command staff, County departments, and internal and external stakeholders.
  • Compose memorandums, letters, and reports utilizing a variety of computer programs and database programs; maintain and update schedule of activities, statistical charts, and graphs as needed.
  • Utilize Lean methodology to standardize, improve, and sustain administrative processes and procedures.
  • Assemble and monitor all files, records, calendar of appointments, and other related events.
  • Attend and take minutes at meetings.
  •  Backfill operations of the Juvenile Division's warehouse including inventory control, purchasing materials and tools, and ensuring inventory procedures are implemented.
  • Backfill for other administrative assistants within the Division when necessary and appropriate.
  • Utilize the DAJD Jail Management System (JMS) and other technological platforms necessary to conduct daily operations.
  • Collect, maintain and review data and information with regard to Incident Reports.
  • Assist with the preparation of employee engagement communication, data, brochures, and handouts.
  • Collect, review, and document data and information, necessary to support contract management.
  • Process communications for division-wide dissemination.
  • Maintain calendars, schedule meetings, and perform other clerical tasks in support of staff assigned to manage and deliver programs.
  • Perform other related duties and responsibilities as assigned within the scope of the Administrative Specialist position.

Minimum Qualifications

  • Four (4) years full-time clerical experience including one (1) year performing high-volume, complex administrative functions.
  • Proficiency utilizing Microsoft Word and Outlook.
  • Intermediate proficiency utilizing Microsoft Excel, SharePoint, and PowerPoint.
  • Exceptional organizational skills such as attention to detail, ability to prioritize and successfully juggle multiple tasks, analytical skills, and time management skills.
  • Must be able to collaborate, problem-solve, and communicate effectively with managers and others to obtain information crucial to maintaining operations     and respond appropriately.
  • Ability to problem-solve with independence and use available information to help anticipate issues before they arise.
  • Strong customer service skills including effective oral and written communication.
THE IDEAL CANDIDATE WILL POSSESS:
  • Advance proficiency utilizing Microsoft Word, Outlook, Excel, SharePoint, and PowerPoint.
  • More than five (5) years with experience in high-volume, complex administrative functions environment with skills in multi-tasking, problem solving, and analyzing information in a professional work setting.
  • Experience working in a professional setting that serves youth and families.
  • Ability to type 50 words a minute.
  • An understanding of the principles of trauma-informed care and the ability to integrate these principles into job duties when applicable.
ADDITIONAL REQUIREMENTS: Candidates for this position may be required to complete skills testing.

Other Qualifications


WORK SCHEDULE: This position will work a 40-hour work week and is overtime eligible. Standard work hours are Monday through Friday, 8:00 a.m. – 5:00 p.m.
 
WORK LOCATION: The individual selected for this position will work within a secure juvenile detention setting and will be assigned to the Judge Patricia H. Clark Youth Services Center located at 1211 E. Alder Street, Seattle, WA.

Rate of pay will be in accordance with applicable bargaining agreements and/or Career Service Guidelines.
