About the Department

The Entry Services Coordinator for NWCTHS & Youth will assist prospective students by answering questions and providing information about CPTC career and educational pathways and the enrollment process at CPTC, particularly for young adults. This position will focus on students entering the Northwest Career & Technical High School program, as well as other pathway options for youth entering the college. 

This position supports the College’s mission by focusing on populations that have traditionally been underserved by the institution, increasing their enrollment through intentional outreach, and their success in reaching their goals, through intentional efforts to assist new students in navigating the entry process.

This position has been designated as a bargaining unit position represented by the Aft Professional Staff, Local 6431.

Position Duties

Duty: Assist prospective students to successfully enter NWCTHS or other CPTC program. 
Tasks include: 

  • Assist in student registration on and off-campus using the online registration system and Ctclink 
  • Utilize systems to track prospective students throughout the entry process
  • Introduce prospective students to the tools needed to prepare for their initial first quarter, i.e. email, CtcLink, Canvas, etc 
  • Refer students to Faculty Counselors and other campus and community resources for exploring careers and pathways 
  • Empower students to establish realistic academic and career goals, reviewing strengths and challenges in students' career and educational pathway 
  • Provide support and guidance for faculty and staff as needed to coordinate a successful entry process for students 
  • Assist the Dean and Transitional Studies team in designing and improving entry pathway materials and processes to help successfully enroll prospective students 
  • Review prospective student completion of all enrollment requirements, monitors progress metrics, determines when outreach might be helpful, analyzes where students encounter barriers, and recommends changes to tools, resources, and practices 
  • Connects with students who do not complete the admission process in order to further assist student, improve current processes, and develop new plans to address emerging issues or barriers

Duty: Provide information to prospective students regarding NWCTHS and other CPTC course and program options, admissions, steps to enrollment, campus departments, and services. 
Tasks include: 
  • Provide direction and support through the admissions process, deliver CPTC program information, steps, and resources on and off-campus in-person/virtually, walk-in and appointment based
  • Communicate through multiple methods of technology
  •  Meet with all prospective students, providing information about CPTC and career pathways, helping students determine if our programs meet their career and educational goals, and assisting students in completing admissions materials in-person/virtually, walk-in and appointment based 
  • Review transcripts to determine recommended course placement 
  • Participate in on and off-campus outreach activities as needed
  • Conduct off-site application and registration assistance at a variety of off-campus locations

Duty: Office and Team Support
Tasks include: 
  • Provide office coverage in coordination with other staff
  • Participate in staff, department, and college-wide meetings 
  • Operate office equipment, such as copy machine and scanner, and use computer and online programs, such as MS Excel and Teams. 
  • Serve as a back-up for related positions as appropriate • Engage in continuous improvement through professional development and self-reflection
  • Perform other duties as assigned.

Minimum Qualifications

  • Associates or higher degree from an accredited institution.
  • Two years of clerical/office work experience in a professional office or education environment. 
  • Two years of customer service experience in a professional office or education environment. 
  • Minimum of two years using Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
  • Ability to work independently and as part of a team. 
  • Ability to multi-task, prioritize, and balance a heavy workload. 

Other Qualifications

  • Bilingual
  • Experience in admissions, outreach/recruitment, and/or entry services work.

Clover Park Technical College is located in Lakewood, Washington. Our college has a rich history of professional and technical education dating back to the 1940s, when Clover Park School District established a War Production program, training civilians as auto mechanics, aircraft-service mechanics, ship-fitters, welders, and blueprint readers. Now, CPTC offers more than forty programs in Aerospace, Advanced Manufacturing, Health Sciences, Human Services, Business, Hospitality, Science Technology, Engineering, Transportation and Trades.
