POSITION SUMMARY:
The Associate Registrar takes an active role in assisting students and faculty with registration and advising by providing the tools needed to review academic progress, create class schedules and successfully register for classes. In addition, this position is responsible for all student status changes related to compliance reporting.
ESSENTIAL FUNCTIONS:
- Responsible for all activities associated with building and maintaining academic terms and course schedules and to ensure compliance with institutional, accreditation and federal compliance requirements
- Ensures compliance and is responsible for tracking all student status changes and reporting them to NSLDS/NSC
- Responsible for the annual update of the Academic Catalog
- Provides logistical support to the Registrar and Graduation Coordinator in University commencement, convocation, hooding and other ceremonies and celebrations
- Assists the Transfer Evaluation Specialist as needed to prepare transfer evaluations for incoming students
- Creates, edits and maintains institutional curriculum requirements tree
- Responsible for registration including managing wait lists and advising holds for students, withdrawals, change of enrollment and troubleshooting student registration for main campus students
- Keeps current on any changes in the curriculum or policy that may affect external constituents.
- Generates ad hoc departmental reports upon request
- Maintains the confidentiality and protection of student records
- Responsible for TES Transfer Evaluation database production
- Produces Transcripts for NAIA Drop Box Services for student athletes and serves as the Certifying Official for athletic varsity activities
- Verifies that all grades are posted according to the academic calendar, communicates with faculty for timely submission, and insures incomplete grades are properly documented
- Supervision of work study students as well as assist with supervision of Transfer Evaluation Specialist and Graduation Coordinator positions in the absence of the Registrar
- Other job-related duties as assigned.
REQUIREMENTS:
- Bachelor’s degree required. Master’s degree preferred
- Attention to detail and accuracy
- Advanced proficiency with Microsoft Office applications (Outlook, Word, PowerPoint, and Excel)
- 2 years of related experience in registrar, financial aid, advising or other related higher education setting preferred
- Familiarity with Jenzabar student information system preferred
- Must be an effective communicator and demonstrate excellent administrative and human interaction skills, especially in working effectively with both the diverse needs of the academic community
- Affinity with the overall mission of the University of Saint Mary.
