POSITION TITLE: Athletic and Health Office Secretary
Starting hourly rate: $19.83 per hour/$20.08 per hour after 90 working days for 7.25 paid hours (8 hour workday)
Up to family health, dental and vision benefits at school sponsored rate after 90 calendar days or buyout option
Ten month position
QUALIFICATIONS:
1. High School Diploma, required
2. Associate’s Degree or accredited secretarial training, preferred
3. One (1) to three (3) years of previous experience in an office and/or educational environment, preferred
4. Able to work independently and establish priorities to meet deadlines
5. Able to follow procedures and practices in a timely and accurate manner
6. Maintain confidentiality in all job related functions
7. Basic knowledge of computer applications and Microsoft Office programs such as Word, Access, Excel, PowerPoint and Outlook; Student Information Systems; Operations Software
8. Excellent communication skills, both written and verbal, required
9. Basic knowledge of office machines (copiers, fax, typewriter, telephone, etc.)
10. Strong organizational skills
11. Excellent customer service skills
12. Ability to work as part of a team
13. Ability to be flexible, prioritize, and perform other tasks as assigned
14. Understanding of general accounting procedures and office management
REPORTS TO: Athletic Director and/or High School Principal
ACCOUNTABILITY OBJECTIVE: The position is responsible for providing administrative support to the Athletic and Nursing Departments in the following areas: coordinating office activities, scheduling appointments, maintain records, and preparing internal/external communications. Additional duties associated with fiscal activities include processing purchase orders, processing payroll, material ordering, and payment fulfillment are expected. The secretary must use initiative and judgment in the performance of duties. The work involves confidential and personal matters. The secretary should be able to use independent judgment in determining various issues that do not involve major deviations from established policies or procedures. Responsibility for varied public contacts is a very important part in the position. The secretary should understand program needs and anticipate/respond accordingly.
PERFORMANCE ACCOUNTABILITIES:
1. Type all correspondence, process mail and perform general office functions including acting as receptionist and clerical support for the athletic office and high school health office
2. Screen, direct, and return phone calls
3. Maintain daily health room records and medications
4. Provide health records for student transfers
5. Coordinate with companies for hazardous waste removal and oxygen tanks
6. Maintain health room during nurse’s lunch
7. Maintain health forms and IHP
8. Generate announcements for athletic and nursing needs
9. Communicate athletic and health room information about students to appropriate faculty and staff through various medias
10. Assist nursing department with physicals and height/weight records
11. Assist with processing building permits for athletic facilities
12. Prepare, collect, process, and file athletic physicals
13. Collect and maintain student emergency contact information for high school
14. Accurate, orderly, accessible, and confidential maintenance of office files.
15. Maintain Schedule Star program
16. Coordinate and communicate about Middle School Athletic Events
17. Assists with special events and projects, as needed
18. Coordinate sporting events with opposing teams
19. Direct athletic ticket sales district-wide
20. Acquire workers for sporting events
21. Maintain and distribute student/coach handbooks
22. Schedule and ensure payment of officials for sporting events
23. Schedule ambulance service for sporting events
24. Maintain and communicate eligibility lists with WPIAL and PIAA
25. Coordinate student athlete recruitment efforts as directed
26. Correspond with Booster Groups
27. Maintain coach and booster directories
28. Process purchase orders and invoices for athletic and nursing departments, as needed
29. Maintain sports rosters
30. Assist with coordinating athletic and nursing communications through available sources including digital sources
31. Communicate necessary information to Athletic Trainers
32. Communicate and coordinate with coaches
33. Maintain personnel list and records and collaborate with Human Resources
34. Generate student athlete academic reports
35. Prepare payroll and payments for coaches, event workers
36. Coordinate athletic transportation needs
37. Assist in maintaining accurate inventory of equipment and supplies
38. Report students to office for debt list
39. All other duties assigned by Athletic Director.
