Job Summary:

  • The Adminstrative Assistant supports the efficient operation of the organization by performing a variety of administrative and clerical tasks.  The roles involves handling daily office tasks and providing support to the leadership team.
  • Work Schedule:  Monday – Friday 8:00 am - 5:00 pm

 Primary Duties:

  • Greets, and checks in visitors. Verifiies credentials visitors credentials and provides the safety plan voucher, safety vest, visitor badge. Communicate to visitors about our safety evacuation assembly point contact location. 
  • Scheduling
    • Coordinate Vendor Visits with the Landlord
    • Assist HR with Events Planning and Execution.
    • Coordinate needs of major events and visits 
    • Maintain Facility Calendar of major events and visitors
  • Maintain Controlled Access.  
    • Emergency Roster Log updated as need it.
    • New hire sign in visitor log verifies credentials. Communicates to new hire employee where to park and provide them with PPE and other supplies. 
    • Maintains and update locker access for hourly Team Members. 
    • Maintains Access to Security Cage. 
  • Training
    • Maintain training records  
  • Reporting
    • Creates Excel Reports 
    • Assist updating PowerPoint slides
    • Data Entry into KPI File 
    • Post the SQDCT postings on the VDM board.
    • Checks and Distributes Mail 
  • Safety 
    • Maintains SDS Notebook.
    • Works with the Safety Committee to coordinate and plan evacuation drills  
  • Purchasing
    • Assign POs and make purchases for warehouse and admin areas
    • Setup new vendors  
    • Provide Cinta’s invoice carpet services to AP.  
    • Assist with quotes for vendor service.  
    • Approving Invoices in Corporate AP System
  • Other duties as assigned

Required Skills: 

  • Intermediate Skill Level with MS Office (Outlook, Word, Excel, and Power Point)
  • Excellent verbal, written, and interpersonal communication skills
  • Ability to work independently on assigned tasks.
  • Able to work collectively with management and team members.
  • Good basic math skills
  • Strong attention to detail
  • Ability to organize and manage multiple priorities
  • Ability to work in a team environment

Education/Certifications/Experience:

  • A high school diploma or equivalent is required.
  • 2 years of relevant experience and/or training.

Physical Demands: 

  • Prolonged periods standing, walking, or sitting at a desk and working on a computer.
  • Must be able to lift up to 50 pounds at times.
