The Group Coordinator supports the Sales & Events team at FORTH Atlanta by managing the administrative, operational, and client-facing aspects of corporate and social group bookings. This role plays a key part in ensuring seamless coordination of group logistics, accurate commission tracking, and an elevated experience for clients and internal stakeholders. The ideal candidate is organized, communicative, and confident managing multiple tasks with a hospitality-first approach.
Key Responsibilities
Group Coordination & Client Communication
- Support Corporate and Social Group Sales Managers with room block administration, contracts, and client correspondence.
- Act as a primary liaison for group bookings and overflow requests.
- Monitor group timelines to ensure all deadlines (cut-off dates, attrition, deposits) are met.
- Prepare rooming lists, welcome letters, and pre-arrival materials for clients.
- Manage post-booking updates including upgrades, changes, and amenity coordination.
Administrative & System Support
- Maintain accurate and up-to-date group booking information in OSEM, HubSpot, and/or Opera PMS.
- Generate group contracts and amendments; route through digital signature platforms such as Sertifi.
- Update internal sales calendars and maintain team visibility on all active and upcoming groups.
- Provide general administrative support to the Sales team, including reporting, organization, and documentation.
- Assist with on-property group logistics such as welcome amenities or branded touches when needed.
Commission Tracking & Management
- Track all commissionable bookings, including third-party intermediaries and agency partners.
- Confirm commission structures at time of contracting and maintain records accordingly.
- Coordinate with Accounting to ensure accurate and timely payout of commissions.
- Maintain a detailed commissions log and resolve discrepancies in collaboration with sales and finance teams.
Interdepartmental Coordination
- Coordinate with Reservations, Front Office, Housekeeping, and F&B to communicate group needs.
- Participate in internal Sales & Events meetings and provide timely updates on group activity.
- Collaborate with Marketing when branded assets or guest experiences are needed for groups.
Guest Experience & Brand Standards
- Represent FORTH’s elevated hospitality standards by offering personalized service and clear communication to group contacts.
- Facilitate branded guest experiences, including welcome notes, curated gifts, and wellness-related touches.
- Ensure group execution aligns with FORTH’s aesthetic, values, and guest experience standards.
Skills & Qualifications
- 1–3 years experience in hotel sales, reservations, or hospitality support roles.
- Previous experience in luxury or lifestyle hospitality preferred.
- Highly organized with strong communication and interpersonal skills.
- Comfortable working in multiple systems, including Microsoft Office and CRMs (OSEM, HubSpot, Opera, Sertifi preferred).
- Understanding of commissions, agency relationships, and contract workflows.
- Service-driven team player with the ability to manage competing priorities independently.
