Position Overview

Valiant Residential is seeking an Operations Administrative Assistant to provide essential support to our Property Operations team. This role ensures the efficient execution of administrative tasks and special projects that contribute to a productive and well-organized work environment. The ideal candidate will be detail-oriented, highly organized, and adept at handling a variety of tasks that support our fast-paced, dynamic operations function.

What You’ll Be Doing


Administrative Support & Office Management

  • Provide comprehensive administrative assistance to the Operations team, including document preparation, data entry, and      maintaining organized office resources.
  • Utilize Microsoft Office tools and other systems to generate inventories, letters, and internal communications.

Documentation & Reporting

  • Create and maintain reports, spreadsheets, and documents to support operations planning and data-driven decision-making.
  • Organize digital and physical files to ensure easy access and up-to-date information.

Project Assistance

  • Collaborate with internal teams on special projects, offering hands-on administrative support to ensure on-time and accurate      execution.

Internal & External Communication

  • Facilitate communication across departments and with external stakeholders through email, phone, and other platforms.
  • Draft professional responses and coordinate correspondence as needed.

Travel & Event Coordination

  • Arrange business travel, accommodations, and business lunches for team members and visitors.
  • Support the planning and execution of team events and meetings.

Onsite Support

  • Provide in-person assistance as needed for meetings, events, or operational tasks, ensuring timely and professional execution.

Requirements

Requirements

  • Education: High school diploma or equivalent required; associate or bachelor’s degree preferred.
  • Minimum 2 years of experience in administrative office management; property management experience preferred.
  • Prior experience or knowledge of property management is preferred. 
  • Demonstrated experience supporting multiple leaders or executives.
  • Proficient in Microsoft Office (Excel, Word, PowerPoint, Outlook); experience with scheduling and calendar coordination.
  • Strong organizational, problem-solving, and multitasking abilities.
  • Excellent written and verbal communication skills.
  • Experience with Yardi or other property management systems a plus.

  • Highly organized with keen attention to detail.
  • Ability to manage competing priorities with a sense of urgency.
  • Professional demeanor with a focus on delivering exceptional internal service.
  • Self-starter with a proactive mindset and a can-do attitude.
  • Comfortable working in a dynamic and fast-paced environment.

Physical Requirements

  • Prolonged periods of sitting, typing, and using office equipment.
  • Occasional lifting of office supplies or equipment (up to 25 lbs).
  • Work is typically performed in a standard office environment with frequent use of computers and telephones.
  • Onsite, In-office work is required with less than 20% travel for company-related events. Not eligible for remote or hybrid work.
