Borinquen Medical Centers is seeking to hire a full-time Front Desk Receptionist/ Administrative Support for our Administration Office. The Receptionist/Administrative Support will manage the front desk area daily and will perform a variety of administrative and clerical tasks. As a Receptionist/Administrative Support, this individual will be the first point of contact at our office. Our Front Receptionist//Administrative Support’s duties include offering administrative support across the organization. Will assist in the coordination of front-desk activities, including distributing correspondence and redirecting phone calls. Ultimately, this position will ensure that all administrative tasks are completed to the highest quality standards.
TASKS AND RESPONSIBILITIES
- Greet and welcome guests as soon as they arrive at the office
- Direct visitors to the appropriate person
- Answer, screen and forward incoming phone calls
- Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)
- Provide basic and accurate information in-person and via phone/email
- Receive, sort and distribute daily mail/deliveries
- Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges, temperature screening)
- Order front office supplies and keep inventory of stock
- Update calendars and schedule meetings
- Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing
- Draft memos
- Assist Marketing Department
REQUIREMENTS
- High School Diploma Required; Associates or Bachelor’s Degree Preferred
- Bilingual
- Proven work experience as a Receptionist, Front Office Representative or similar role
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook, Publisher)
- Hands-on experience with office equipment (e.g. fax machines, scanners, printers)
- Professional attitude and appearance
- Solid written and verbal communication skills
- Ability to be resourceful and proactive when issues arise
- Excellent organizational skills
- Multitasking and time-management skills, with the ability to prioritize tasks
