The Southeast Permanente Medical Group, (TSPMG)/ Kaiser Permanente is happy to announce an opening for Senior Manager, Schedules and Template Operations and Strategy.
The Senior Manager, Schedules and Template Operations and Strategy will manage the day-to-day operations of the Access & Clinician Scheduling department. The Senior Manager will ensure that all department and clinician schedules and templates are generated and released according to the organization’s schedule release policy and template guidelines. The Senior Manager in partnership with TSPMG Operations, Department Chiefs, QGenda Engineers, and others will identify and resolve any schedule, template generation errors, and address any process and/or programing challenges that exist. Further, The Senior Manager will work closely with TSPMG Human Resources/Payroll to ensure payroll reporting is accurate and complete. The Senior Manager also strongly collaborates with Chiefs, Clinical Supervisors, Dept Managers, Call Center key stakeholders personnel and staff practitioners and employees to ensure timely processing of schedule changes and department/provider schedules are synchronized between the scheduling application (QGenda) and Cadence. The Senior Manager will provide business analysis consultation, initiative management, metrics planning, and other necessary support for the successful launch of new initiatives as well as ongoing monitoring for the designated departments in general and designated initiatives and projects.
Education:
- Minimum:
- Bachelor's Degree in Business Administration, Healthcare Administration, or relevant fields
- Preferred:
- Master's Degree in Business Administration, Public Health, Healthcare Administration, or related fields
Project Management Certification is desired.
Experience and Qualifications:
- Demonstrated success in project management and analytical skills
- Experience in business case analysis and development
- Proven track record of achieving objectives through motivating and leading teams
- Ability to establish positive, professional relationships with senior leadership and management team members.
- Familiarity with use and interpretation of quantitative reports and analysis
- Analytical skills utilizing Microsoft Office applications or similar applications in order to analyze large volumes of information.
- Proficient with the use of Excel, PowerPoint, and Word.
- Demonstrated organizational and problem-solving skills, as well as strategic and systems thinking capability.
- 3 years of consulting or similar experience within the healthcare industry
- Demonstrated success in ability to organize, deploy, and motivate diverse project team
- Proven track record of managing multiple complex projects simultaneously
- Experience in healthcare industry

- Oversee the end-to-end process of provider scheduling to include schedule and template generation, processing schedule and template change requests, schedule deployment, resource management, QA, and vendor management.
- Collaborates with administrative and clinical leaders in the Medical Group to support timely and accurate release of provider schedules in accordance with the TSPMG Provider Scheduling Oversight Committee and TSPMG Schedule Release Policy.
- Implement and manage a Quality Assurance program to track and resolve data submission errors.
- Conduct annual performance improvement assessment of departmental processes and application programming to ensure it is meeting the needs of our customers – Strive for improvements in automation and reductions in schedule generation time.
- Partner with TSPMG data reporting team to establish schedule release and error rate performance targets and develop performance management reports to be reviewed and discussed monthly with Leadership.
- Collaborate with Operational Leaders to analyze, evaluate, monitor, and identify scheduling practices that improve efficiencies in all areas of provider scheduling.
- Promotes a high level of customer service within the department to ensure we are meeting the needs of our customers.
- Ensures regular audits and quality control measures are completed on information being sent to payroll for errors or system anomalies prior to receipt by payroll.
- Under the direction of the AMD of Patient Access and Experience, the role provides project management and leadership, working with physician partners to drive execution and project performance, assist with the development of work approaches/plans, team structure, analysis plans, communication plans, implementation plans and sponsor management plans. Partner with physician leaders in researching, consulting, and project management support for hospital services initiatives.
- Provides leadership within the projects managed in ensuring appropriate mechanisms and systems are in place to support providing hassle free access and ensuring the region is successful in meeting access targets. Projects where this role would provide leadership are inclusive of (but not limited to) Patient Access, Appointing Excellence, Schedule Generation/Template Management, etc.
- Partners with regional and service area counterparts and health care teams to review and improve systems and processes to manage the regional access strategy by closely partnering with the Access Team, Business Operations, and Clinician Leaders to ensure the work is supported, monitored, and evaluated on an ongoing basis.
- Develops business cases for new projects, as needed, and present and defend the cases, as per the determined KPGA process.
- Provides department assessments and proactively recommends projects and improvement initiatives to the Executive Access Team to address issues and achieve documented outcomes.
- Partners with TSPMG reporting resources to obtain needed initiative and project reports for physician level and leadership review.
- Facilitate communication and problem resolution between interdisciplinary groups within the departments. Partners with physicians and administrators to ensure successful implementation of new projects and initiatives or improve operational efficiencies.
- Supports senior leadership and clinical management teams to develop appropriate targets and monitors annual performance in conjunction with the goal setting process.
