As an Office Manager you will be the heart of operations at Eastern Sierra Engineering, a Civil Solutions Company. You will be responsible for ensuring the smooth running of our office on a daily basis, as well as contributing to key projects in areas like finance, human resources, and marketing. RESPONSIBILITIES: 

General Office Management:

  • Maintain office supplies inventory and order as needed.
  • Maintain and manage Microsoft 365 and Outlook.
  • Assist and troubleshoot technology and systems as a point of contact for employees.
  • Manage incoming and outgoing mail and deliveries.
  • Answer and direct incoming phone calls.
  • Prepare and make bank deposits.
  • Coordinate meetings and events including catering and food.
  • Maintain office organization and cleanliness.
  • Organize and pick up a weekly breakfast item and daily snacks. 

Finance and Accounting:

  • Manage credit card receipts in Core and QuickBooks.
  • Manage accounts payable for the company, including posting invoices and sending through the approval process.
  • Assist in accounts receivable, including generating and sending invoices.
  • Manage and coordinate COIs.
  • Manage and coordinate subconsultant agreements. 

Human Resources:

  • Assist with recruitment efforts, including conducting phone screens and scheduling interviews.
  • Onboard new hires, ensuring they have the necessary resources and information.
  • Maintain employee records.

Marketing and Events:

  • Assist in the preparation of SOQ’s and RFPs (up to 25% of time may need to be allocated).
  • Order marketing materials and promotional items ("swag"), including staff clothing orders.
  • Plan and coordinate company events, such as picnics, holiday parties, and team-building activities.
  • Coordinate travel for conferences, QSM’s, and other company attended events.

Building Maintenance:

  • Act as the point of contact for building maintenance and repairs.
  • Coordinate with vendors and service providers.

Other:

  • Provide administrative support to the President and other team members as needed.
  • Undertake special projects as assigned.

REQUIREMENTS:

  • Proven experience as an Office Manager or in a similar administrative role. 
  • Strong organizational and time management skills with the ability to prioritize tasks. 
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). 
  • Experience with QuickBooks and Core (or similar accounting software) is a plus. 
  • Ability to work independently and as part of a team. 
  • High school diploma required; associate or bachelor’s degree preferred.
  • Excellent problem-solving skills and ability to think critically.
  • Strong communication and interpersonal skills to effectively collaborate with team members, clients, and stakeholders.
  • Ability to work effectively in a fast-paced, deadline-driven environment.
