Job Purpose

Lead and develop the Customer Services and Sales Coordinators teams, managing France division orders. Ensure excellent customer service through effective order handling, cross-functional collaboration, and clear communication. Support sales growth and business development by aligning internal processes, distributing workloads, and representing the Sales Admin team’s role and value across functions.

Tasks and Responsibilities

Sales Support & Administration

  • Record and manage customer requirements accurately

  • Enter and monitor sales orders to ensure timely fulfilment

  • Handle customer enquiries, complaints, and sample requests

  • Support Account Managers with quotes, meetings, and presentations

  • Maintain customer records, pricing, and regulatory documents

  • Use D365, CRM, and Product Vision for admin and order tracking

Project Management

  • Enter and follow up on fragrance projects

  • Work with the lab to organize samples and submissions

  • Prepare and send quotes and presentations to customers

Order Management

  • Process customer orders for the France Sales division

  • Work with logistics, planning, and finance to ensure smooth delivery

  • Share order confirmations and required documentation

Customer Master Data

  • Ensure all customer data is complete and up to date

  • Manage account openings, pricing, and trade agreements

Team Management

  • Lead and support the Customer Service and Sales Coordinator team

  • Liaise with Sales Director and global teams on performance

  • Drive process improvements and implement system changes (e.g., D365/CRM)

  • Manage workload, major complaints, and HR-related tasks

Communication & Conduct

  • Communicate clearly and professionally with all stakeholders

  • Follow CPL policies and promote teamwork and service excellence

Skills and Attributes Required

  • Have at least 10 years’ experience in Customer Service
  • Fluent English and French
  • Have strong skills in Microsoft Office incl. most importantly Excel, and ability to work with Microsoft Dynamics AX/D365/CRM & PV
  • Be self-motivated with a positive attitude be enthusiastic and a team player
  • Be Customer focused, and have a commercial mindset
  • Able to work independently and as a team player
  • Willing to work on continuous improvement personally and within the customer service & Sales admin functions
  • Exhibit excellent communication skills and be thorough and clear in their communication
  • Able to work efficiently and effectively with attention to detail and quality
  • Have good time management with the ability to meet deadlines
  • Be an effective problem solver
  • Be able to multitask, even when under pressure
  • Excellent written and verbal communication skills
  • Able to work efficiently and effectively with attention to detail and quality
  • Highly proficient in using Excel spreadsheets, making ppt presentations
