The Business Accounting Department of one of the fastest-growing accounting firms in the country is seeking an Administrative Assistant who possesses a technical skillset, is motivated by quality work and embraces a collaborative environment. This individual will have a direct impact on our firm’s mission of serving as a catalyst for those striving to achieve their highest potential. 

In this role, you will provide essential project management services for the continued flow of operations at the Firm. The Business Accounting Administrative Assistant must maintain a mature, professional demeanor while projecting self-confidence when addressing questions and handling matters involving external clients. This individual works on a variety of tasks simultaneously and is capable of anticipating the needs of others while constantly seeking opportunities to improve efficiency.

Compensated overtime required, as needed, during Tax Season, January - April 15. 

This position requires the individual to be extremely detail oriented and organized, as well as possess excellent communication and adaptability skills. The Business Accounting Administrative Assistant must be able to demonstrate critical thinking, problem solving skills, and be able to manage their time efficiently.

 

What You’ll Do: 

         Business Accounting Responsibilities:

  • Prepare complete packet of government forms and client copy of Form 1099s, payroll reports, sales and use tax returns, personal property tax declarations, etc. on an annual, quarterly, and monthly basis, while verifying information and ensuring total accuracy prior to sending to client.
  • Prepare reports using information gathered using software, reviewing data for accuracy, and distributing reports using standardized formatting.
  • Process client auto and fringe benefit calculations.
  • Retrieve and download quarterly payroll reports for Firm clients using outside payroll company and save to their client files.
  • Complete Form 1099/W-2 e-file verifications.
  • Conduct inventory counts and place order for annual W-2 and 1099 forms and envelopes.
  • Update payroll form addresses on an annual basis.
  • Schedule annual calendar of bi-weekly and monthly lunch meetings and order lunch/set up for lunch meetings.
  • Serve as coordinator for 1 to 2 Department events per year.
  • Process all Firm address changes in payroll software system.
  • Work independently with limited supervision at times by organizing information, evaluating various approaches to completing projects, utilizing available resources to achieve desired outcomes, exercising judgement to make decisions, and assuring effective communication with all involved parties.
  • Act as liaison for the Department between two offices.

         Other Firm Responsibilities: 

  • Prepare correspondence for distribution or approval and signature and check documents for accuracy.
  • Complete new opportunities and client setups in CRM, and complete client change request forms.
  • Assure the Department copiers are stocked with paper and the copy room is organized.
  • Scan client documents into electronic files.
  • Serve as backup in assisting with tax return logins, distribution of Firm mail, process outgoing mail, receptionist duties, as needed.
  • Remain current through professional development training, as required.
  • Remain vigilant to internet and email-based threats through in-house training, as required.

 

What We’re Looking For: 

  • Proficient in Microsoft Office Suite including Word, Excel, Outlook and Teams, as well as overall proficiency in computer skills, keyboarding, etc.
  • Experience with Adobe Acrobat and PDFlyer.
  • Excellent verbal and written communication skills are required, including a precise command of grammar, punctuation, and spelling.
  • Extreme attention to detail and strong organizational skills are required.
  • Must be able to work independently and exercise initiative.
  • Strong project management skills.
  • Ability to exercise high level of confidentiality.
  • The ability to handle requests from multiple areas of management, multi-task, and prioritize projects.
  • Provide high client service in a professional manner when communicating in writing and in person.
  • Ability to learn multiple software systems simultaneously in a fast-paced environment.
  • Must be able to work extended hours during Tax Season, as needed.
  • Knowledge of IRS and state payroll forms and quarterly deadline periods is a plus.

 

Your Qualifications: 

  • High school diploma or equivalent required.
  • 4+ years of experience in a high-level, professional support role.
  • Proficient in Microsoft Office Suite including Word, Excel, and Outlook.
  • Experience with Adobe Acrobat and PDFlyer.

The stated pay scale reflects the range that Anders reasonably expects to pay for this position.  The actual pay rate for this position will be dependent on a variety of factors, including an applicant’s years of experience, unique skills and abilities, education, alignment with similar internal candidates, marketplace factors, other requirements for the position, and firm business practices.

Salary Range
$45,000$57,000 USD
