The Role:
The Senior Associate, Client Team Support, will play a critical role by providing high-level administrative support to and assist in managing day-to-day responsibilities of executives with both management and client-service responsibilities while maintaining strict confidentiality. This role will involve a diverse range of tasks that require discretion, exceptional communication and organizational skills, and the ability to prioritize effectively in a demanding client service organization. This position requires a high level of professionalism, and the ability to communicate effectively with internal stakeholders and clients while maintaining a focus on service excellence.
Responsibilities:
- Review forms and reports in the firm’s client acceptance portal for accuracy and completeness and distribute to team members.
- Prepare and review job arrangement letters in accordance with firm standards.
- Assist with set up of client codes and job numbers with the utmost accuracy and minimal supervision.
- Organize, track, and maintain certain client and administrative files and follow-up on missing items in a timely manner.
- Prepare, coordinate, and send client documents.
- Generate and distribute reports in billing and other systems as needed for client engagement team(s).
- • Manage end-to-end monthly billing processes, including maintaining client records, performing reconciliations, reviewing invoices, and analyzing large data files using Excel.
• Provide administrative and logistical support for partners and team operations, including staffing coordination, meeting scheduling, tracking tax deadlines, and organizing local office trainings.
• Support tax compliance functions by preparing various tax returns (sales/use, business license, personal property), organizing electronic workpapers, scanning and packaging documents, and assisting with extensions.
Compensation and Benefits
Our firm offers competitive base compensation, benefits package, and a discretionary employee bonus program for eligible employees based on individual and firm performance metrics per the defined program guidelines. For individuals hired to work in Melville, New York, the expected salary range for this role is $100,000.00 to $130,000.00; the actual salary offer can vary based upon employee qualifications.

Compensation: In addition to competitive base compensation, our firm offers annual discretionary bonuses based on firm and individual performance and other forms of discretionary compensation that would be offered to the hired applicant in addition to their established salary range scale.

The Requirements:- Bachelor’s degree preferred.
- 5 or more years administrative experience, preferably in a professional services environment
- High level of proficiency in Microsoft Office Suite (Word, PowerPoint, Excel, Outlook) and with conferencing software (MS Teams, Zoom).
- Professional demeanor and experience communicating with multiple executive levels.
- Excellent written and verbal communication skills.
- Proactive with ability to work in a deadline-driven environment and handle multiple projects/tasks with an attention to detail.
- Uses technology to improve efficiency and accuracy in work product and seeks out opportunities to improve skills.
- Ability to work both independently with minimal supervision and exercise good judgment/decision making when necessary and also supervise others, as applicable.
- Occasionally be available to assist with urgent matters during weekends.
- This role is in office 4 days a week, in our Melville office, with ability to work remotely 1 day per week.
