Overview:

Support the firm’s strategic growth by coordinating business development activities, managing proposal development, and assisting with client outreach and market intelligence. Serve as a key operational link between marketing, technical teams, and leadership to drive opportunity capture and enhance the firm's competitive positioning.

Responsibilities:

Leadership and Direction

  • Work closely with business development and executive leadership to prioritize and track pursuits across target markets.
  • Coordinate capture efforts by facilitating go/no-go decisions, pursuit strategies, and win themes.
  • Partner with marketing and technical leads to ensure cohesive messaging and branding across proposals and presentations.
  • Maintain accurate and up-to-date opportunity tracking in CRM systems and reporting dashboards.

 

At the Operational and Company Level

  • Assist in researching clients, competitors, market trends, and industry forecasts to inform pursuit strategy.
  • Organize and support client engagement efforts including meetings, conferences, trade shows, and networking events.
  • Help develop content for marketing collateral, project sheets, and qualification packages tailored to client needs.
  • Collaborate with technical staff to assemble proposals, RFP responses, and interview materials.
  • Ensure compliance with procurement requirements, branding guidelines, and submission deadlines.

 

Do the Work

  • Coordinate end-to-end proposal processes: manage timelines, collect inputs, edit content, and oversee production.
  • Track leads and solicitations, distribute RFQs/RFPs internally, and support capture planning sessions.
  • Maintain business development files including resumes, project profiles, firm registrations, and client references.
  • Develop and maintain internal tools such as pursuit schedules, templates, and past performance libraries.
  • Support post-submittal activities such as interview preparation, debrief requests, and database updates.
  • Draft and edit business development content including executive summaries, cover letters, and capability statements.
  • Ensure consistent formatting, professional presentation, and error-free documentation for all deliverables.

Qualifications:
  • Bachelor’s degree in Marketing, Communications, Business Administration, or related field required.
  • Two to five (2–5) years of experience in business development, marketing, or proposal coordination, preferably in A/E/C or professional services.
  • Experience supporting proposals for public agencies and/or private clients strongly preferred.
  • Familiarity with CRM systems (e.g., Deltek Vision/Vantagepoint, HubSpot) and proposal tracking tools desirable.
  • Graphic design experience (e.g., Adobe InDesign, Illustrator) a plus.
  • Working knowledge of SF330, RFQ/RFP processes, and qualification submittal formats beneficial.
  • Strong proficiency in Microsoft Office Suite and Adobe Creative Cloud (particularly InDesign).
Physical Demands and Working Environment:
  • Primarily indoor professional office environment which may include bright/dim light, noise, and typical office traffic.
  • Mobility within an office environment with extended periods of sitting.
  • Frequent use of computers, phones, printers, and other standard office equipment.
  • Occasional travel to client meetings, events, or conferences.
  • Occasional lifting or carrying up to 20 pounds.
  • Occasional reaching above shoulder or outward while handling marketing materials.
