Job OverviewWe are pleased to announce an opening for a Part-Time Administrative Assistant position! We seek a meticulous and highly organized professional to become a vital member of our team. The ideal candidate will possess a solid foundation in administrative responsibilities, particularly with QuickBooks invoicing, and will be adept at managing School Bus Transportation Contracts as well as contracts related to out-of-district student transportation. This role offers the flexibility of being performed partially or fully remote, allowing you to collaborate closely with our team to ensure efficient operations and robust financial management.Key Responsibilities

  • Generate and dispatch invoices to clients utilizing QuickBooks on a monthly basis or as required.
  • Monitor payments and pursue follow-ups on any overdue invoices.
  • Maintain precise records of all invoicing and payment activities.
  • Initiate and manage contacts with school districts regarding potential contracts and bids.
  • Oversee student and driver schedules to guarantee adequate shift coverage.
  • Efficiently manage and respond to emails and phone inquiries.
  • Schedule and coordinate meetings and appointments seamlessly.
  • Prepare and maintain spreadsheets, reports, and other essential documentation.
  • Assist in organizing and managing company files and records.
  • Undertake additional administrative tasks to support the team as required.
Required Skills
  • Proficiency in QuickBooks invoicing.
  • Exceptional organizational abilities with keen attention to detail.
  • Strong verbal and written communication skills.
  • High competency in Microsoft Word, Outlook, and PowerPoint.
  • Capability to manage time effectively and prioritize tasks efficiently.
Qualifications
  • High school diploma or GED is mandatory; an associate degree or relevant administrative training is preferred.
  • Prior experience as an Administrative Assistant or in a similar capacity.
  • Familiarity with standard office equipment such as printers and fax machines.
  • Highly organized with adept time management skills.
