About the Role:
We are seeking a detail-oriented and proactive Legal Assistant to support our boutique litigation firm’s attorneys and legal team. This role plays a key part in ensuring accuracy, organization, and efficiency across case management, calendaring, document preparation, and client communications. The ideal candidate is highly organized, responsive, and comfortable working in a fast-paced environment while collaborating closely with attorneys, paralegals, and firm leadership.
Key Responsibilities
- Maintain and update the Firm’s master calendar in Outlook and Clio, ensuring all hearings, deadlines, and meetings are accurately scheduled.
- Coordinate with attorneys and the legal team to track case deadlines and support timely completion of tasks.
- Assist with filing legal documents in state and federal courts, ensuring compliance with court rules and deadlines.
- Prepare, format, and send legal correspondence and communications at the direction of attorneys.
- Communicate with clients by phone, email, and in person to support case progress and strengthen client relationships.
- Retrieve, scan, organize, and distribute incoming mail and legal documents.
- Provide support to the reception team as needed, including greeting clients and visitors and assisting with office inquiries.
- Assist with general office coordination and administrative support for the Newport Beach office, helping ensure a professional and efficient work environment.
Requirements
Qualifications
- 2–3 years of experience as a Legal Assistant, Legal Secretary, or comparable legal support role, preferably in a litigation law firm
- Strong proficiency with Clio Manage (or similar case management software) and Microsoft Office Suite (Outlook, Word, Excel).
- Experience with legal calendaring, including scheduling court hearings, deadlines, and attorney meetings.
- Working knowledge of state and federal court filing procedures and litigation workflows.
- Excellent attention to detail, organization, and time management skills, with the ability to manage multiple tasks and deadlines simultaneously.
- Strong written and verbal communication skills with a professional, client-service mindset.
- Experience supporting attorneys with document preparation, file organization, and client communication.
- Associate degree, paralegal coursework, or legal administrative training preferred (or equivalent experience).
