Job Summary:
The Administrative Coordinator serves as a key operational and relational support for the Advancement team at a Jesuit, Catholic university. This role is responsible for the execution of daily administrative functions, logistical coordination for development officers, data integrity tasks, and responsive communication with internal and external constituents. The ideal candidate will demonstrate a high level of discretion, attention to detail, and alignment with the University’s mission of forming men and women for others.Major Duties and Responsibilities:
Office Administration:
Coordinate supply ordering, office setup for new hires, IT equipment requests, and general office logistics
Welcome visitors and serve as a professional first point of contact for calls and walk-ins
Schedule meetings, prepare materials, and ensure logistics for internal team functions
Manage incoming and outgoing mail; direct campus and external inquiries
Track and manage IT assigned assets
Major Gift Officer Support:
Prepare donor-facing documents including gift agreements, intent forms, and proposals
Maintain and update advancement communications tools (e.g., case statements, donor templates)
Assist with donor pipeline tracking and MGO performance metric reporting
Advancement Services Support:
Support gift processing and tracking; assist in the generation of timely and accurate gift receipts and acknowledgments
Support monthly communications and maintain accurate constituent records
Produce and distribute weekly giving reports to colleges and academic units
Perform data cleanup, validation, and entry in Salesforce CRM
Perform other duties as assigned to support the evolving needs of the University Advancement team.
Required Qualifications:
2+ years administrative or office support experience, preferably in a higher education or nonprofit setting
Strong written and verbal communication skills
Proficiency in Microsoft Office Suite, Adobe and demonstrated experience with CRM systems (Salesforce preferred).
Experience with Salesforce NPSP or other CRM high preferred
Excellent organizational and customer service skills
Ability to manage confidential information with discretion
Detail-oriented, collaborative, and mission-driven
Preferred Qualifications:
Familiarity with donor stewardship and fundraising principles
Experience with creative platforms (e.g., Canva, Adobe) and project management tools (e.g., Asan)
