About the Opportunity
Administrative Assistant serves as the first point of contact for visitors and callers, while also providing comprehensive administrative support to ensure the smooth operation of the office. This role combines traditional receptionist responsibilities—such as greeting guests, answering phones, and managing front-desk operations—with advanced administrative and computer-based tasks.
Strong computer skills are essential, including proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint), data entry systems, and familiarity with cloud-based collaboration platforms (e.g., Google, Zoom, Teams). A professional demeanor, attention to detail, and the ability to multitask in a fast-paced environment are key to success in this role.
Key Responsibilities:
Greet and assist visitors in a professional and courteous manner
Answer, screen, and direct incoming phone calls
Manage front desk operations and maintain a tidy reception area
Schedule appointments and maintain calendars for staff
Draft, proofread, and format letters, reports, and other documents
Handle incoming and outgoing mail and packages
Maintain both digital and physical filing systems
Order office supplies and track inventory
Coordinate meetings and prepare necessary materials
Perform accurate data entry and maintain internal databases
Communicate with internal departments and external partners via email and phone

Education and Experience Requirements
- Must possess, as a minimum, a high school diploma or its equivalent. Associate Degree in business or related field preferred.
- Must have, as a minimum, 2 year(s) experience in healthcare or business operation.
