This role is responsible for managing and coordinating the vendor relations activities for Government Services, with primary areas of focus to include statement reconciliations, vendor portal adoption, process improvement, reporting and collaboration across all teams to deliver an excellent vendor/partner experience.

Essential Duties & Responsibilities:

Daily coordination and collaboration with and across Government Services teams to deliver an excellent vendor/partner experience.

  • Serve as the primary point of contact for vendors/partners for:
    • Payables statement reconciliations
    • Administrative inquiries (VMS setups)
    • Invoicing inquiries and requirements
    • Vendor Portal onboarding
    • Other vendor/partner A/P related inquiries
  • Manage the accounts payable email inbox to receive, classify, distribute and or respond to incoming inquiries in a timely manner.
  • Maintain daily communication with the Airland and Domestic A/P staff to resolve outstanding vendor/partner balances.
  • Conduct all necessary research to provide timely resolutions.
  • Conduct meetings with high-priority vendors to discuss progress, improvements, or concerns.
  • Lead the effort to increase the number of vendors/partners using the Vendor Portal.
  • Develop and implement necessary changes to improve workflow efficiency.
  • Create standard operating procedures where needed to document processes and provide guidance to internal and external stakeholders.
  • Create, maintain, and distribute daily, weekly, or monthly reports to senior management on progress toward goals.

Required Education & Experience:

  • High School Diploma or GED required; two to three years related experience and/or training; or equivalent combination of education and experience. 
  • Prior experience in Accounts Payable and or Accounts Receivable is required.

Preferred Experience:

  • Bachelor’s degree in Accounting preferred.
  • Prior experience billing contracts, tariffs and/or rate schedules is preferred.

TRAVEL:

  • Less than 10% travel required.

Language Skills:

  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  • Ability to write routine reports.
  • Ability to speak effectively before groups of customers or employees of organization.
  • Excellent written and verbal communication skills.

Mathematical Skills:

  • Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.
  • Ability to apply concepts of basic algebra and geometry.

Reasoning Ability:

  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

Computer Operations:

  • To perform this job successfully, an individual should have strong knowledge of Microsoft Office Suite, and the ability to learn and effectively use software applications such as move management, accounting/billing, HRIS, timekeeping and other applications used in the performance of job duties.

Planning/Organization:

  • Ability to prioritize and re-prioritize as situations and needs change throughout the workday
  • Ability to multi-task and organize workflow to manage daily responsibilities, meet deadlines and prioritize work .
