Estimated Hiring Salary Range: $48,438.00 - $55,358.00 Full Salary Range: $42,072.00 - $75,287.00 Annually

About the Role:The Administrative Support Specialist provides administrative assistance to the Maintenance Superintendent, Inventory Supervisor, and Maintenance Plant Supervisors in the Water Resources Department. This role supports the division’s daily operations by managing purchasing, financial documentation, and vendor coordination. This position is Non-Exempt under FLSA Policy
Key Responsibilities:
Serve as the administrative assistant to key Water Resources leadership staff
Process purchase requisitions, check orders, and invoices in a timely and accurate manner
Maintain and update financial spreadsheets and databases for tracking expenditures and inventory
Organize and maintain purchasing documentation and contracts in compliance with City procedures
Assist with the scheduling and coordination of vendor services and maintenance activities
Support administrative projects and special assignments as directed by department leadership
Provide general office support, including correspondence, recordkeeping, and data entry
Collaborate with internal departments and external vendors to ensure smooth operational workflow

Minimum Qualifications
Minimum Qualifications:
- High School diploma/ GED
- "OR" an equivalency of 3 years of education with 5 years of administrative-related support experience supporting daily operations of managing purchasing, processing purchase requisitions and contracts, check orders, and financial documentation, invoices, as it directly relates to the career description
- Proficient experience using Microsoft Office Suite
- Valid Driver's License
- 1+ years of directly related administrative experience supporting daily operations of managing purchasing, processing purchase requisitions and contracts, check orders, and financial documentation, invoices, as it directly relates to the career description
Preferred Qualifications:
- Advanced Microsoft Outlook, Word, and Excel.
- Administrative/support experience in a Municipal/Local Government Water Resources Agency
