Therefore, the ability to understand guidelines, policies and the systems that support Extended Learning is key to this position’s success. The impact of error is high, as it can affect the effective and timely implementation and therefore success of Extended Learning programming. This position works under pressure to meet competing deadlines and performs multiple tasks in a continuously changing environment. The standard for the quality of work and timely completion of tasks is very high. Excellent communication and interpersonal skills are essential, and superb learner-first and client-centered service are key traits required for this role. Extended Learning (EL) is a new unit in Registrarial Services supporting registration and student records for non-credit activities such as continuing education, micro-credentials, youth programming, conferences, and events. This position will deliver detail-oriented and responsive administrative support for users of Extended Learning’s registration system (Destiny One), perform daily operations related to registration, finance, and learner supports for extended learning programming, assist with financial reconciliation processes, and ensure key objectives and priorities for the unit and its academic partners are advanced. This position reports to the Director and Associate Registrar (Academic) and is expected to work effectively in a distributed team environment with diverse stakeholders.
Reporting to the Director and Associate Registrar (Academic), this position includes a wide variety of administrative tasks in a fast-paced, high-volume office. Duties will include building continuing education classes, micro-credentials, conferences, and events, and in assisting other university units in building their classes/events in Destiny One. Maintaining accurate registration records, including financial records, is essential; the incumbent will use Destiny One to assist in the maintenance of a large volume of academic and non-academic data as well as facilitating the scheduling of events and classes. The incumbent will work with the Sr Coordinator regarding policies and procedures of the unit and in their interpretation. They will also assist the Sr Coordinator in identifying future needs of the unit, modifying procedures and initiating appropriate courses of action to resolve complex matters, compiling data and preparing reports regarding event demand and usage, and other duties as assigned.
An undergraduate degree with knowledge of data collection and analyses practices in the social sciences or humanities is preferred. A Masters degree will be an asset. A combination of education and experience may be considered.
Three years’ experience working in a fast-paced environment while applying a client-centered approach is required. Demonstrated experience supporting senior administrators, including strict time management. Knowledge and advanced understanding of events management, continuing education, and maintaining data integrity are essential. Experience working closely with faculty and staff is an asset in a post-secondary or other large organization is an asset. Proficiency in Microsoft Outlook, Teams, SharePoint, Word, Excel, and PowerPoint is essential. Direct experience with Destiny One and TeamDynamix is strongly preferred. Understanding other university learning technologies and systems (e.g. Banner, Canvas, BCDiploma) is beneficial.
