Position Description:
This position provides administrative support to senior leaders by serving as a key liaison with internal & external stakeholders for the organization. This role will support the divisional vice president and the regional vice president of sales for the Western region. This role requires the ability to maintain confidentiality and a high level of professionalism.
Position Location and Hours:
This is a hybrid role working partially in-office (Lincoln, NE) and partially from home. Hours will be 9:30 am-6:00 pm to support a team on the west coast.
What you do:
- Act as liaison between executives, brokers, carriers, clients, and internal teams.
- Manage complex calendars, schedule meetings, and coordinate travel for executives and various team members
- Manage executive email inboxes: monitor, prioritize, to ensure timely follow-up.
- Prepare and keep reports up to date.
- Assist with budget management; reconcile and submit expense reports.
- Handle correspondence and maintain confidentiality at all times.
- Attend meetings, take notes, and follow up on action items to keep projects moving.
- Track deadlines, projects, and performance metrics to support business objectives.
- Coordinate logistics to ensure a smooth presence at industry events, broker meetings, and client conferences.
- Assist with events, broker engagement, and special projects.
- Collect and distribute mail
- Order office supplies, maintain office equipment.
- Assist with event planning and events in the Home Office.
What you bring:
- Decision-making skills to work autonomously and manage specific tasks.
- Strong communication and collaboration skills to support executives and work alongside other associates.
- Writing skills to ensure emails, letters, and documents uphold the brand identity.
- Proficiency with Microsoft Office (Outlook, PowerPoint, Excel, Word)
- Knowledge of office procedures and equipment.
- Ability to handle confidential information responsibly.
- Strong organizational skills, ability to manage multiple priorities, and focus on details.
Education and Experience
- High school diploma or GED required.
- Associate’s degree or equivalent experience preferred.
- 2-4 years of related administrative assistant or similar experience preferred.
- Experience in sales is helpful.
