The Graduate School is seeking a Graduate Admission Support Assistant to provide administrative support for the admission team. The Graduate Admission office is a dynamic environment, managing and processing over 15,000 applications for both degree-seeking and nondegree programs each year. The successful candidate will be dependable, resourceful, highly organized, and possess excellent customer service and communication skills. They will have the ability to work quickly and efficiently with complex technical systems, and juggle multiple priorities in a fast-paced office environment.

Responsibilities:Customer Service:
- Serve as the first point of contact in a busy admission office.
- Answer, screen, and forward calls; provide detailed admission information.
- Respond to email inquiries and reach out to campus contacts as needed.
- Greet prospective applicants, explain the admission process, and provide details about academic departments.
- Maintain front desk reference materials.
- Review inquiries via the Service Now portal and maintain Knowledge Base articles.
Admission:
- Process supplemental application materials.
- Prepare for the admission cycle, ensuring all administrative materials are organized.
- Process and checklist architecture applicant portfolios.
- Assist with preparing final admission summaries for deans’ review.
- Support coordinators with the decision release process.
- Ensure applicant data is up to date and accurate in systems.
- Update information in student systems as necessary.
Nondegree Programs:
- Check in non-degree students and complete I-9 paperwork.
- Assist with the non-degree application, determining missing materials and working with applicants and departments to collect them.
Onboarding & Arrival:
- Retrieve application materials and create academic files for new students through the OnBase system.
- Process and review final transcripts for incoming graduate students.
- Assist in completing I-9s for incoming degree-seeking students.
General Administrative Support:
- Distribute publications to departments and incoming students.
- Support the Director and Assistant Director of Graduate Admission and Enrollment Services as needed.
- Serve as backup for other support positions and assist with Graduate School events.
- Perform other duties as assigned.
Essential:
- Bachelor's degree and/or equivalent one or more years of work experience
- Excellent customer service, including phone and email etiquette.
- Strong written and verbal communication skills.
- Proficient with computers and Microsoft Office (Word, Outlook, Excel).
- Good time management, able to prioritize and meet deadlines.
- Able to work independently and as part of a team, adapting to changes.
- Effective team player, understanding the broader unit and university contexts.
- Discreet in handling confidential information.
Preferred:
- Experience with admission and enrollment systems
